About the Role

Firmus is building AI Factories across Asia Pacific and requires a Project Systems Lead to own the platform that provides a single, verified view of schedule, cost, risk, and contract status for the Development portfolio. This role involves setting up, testing, and rolling out Procore globally, acting as the single point of contact for its support and improvement, integrating project information with other business systems, and building portfolio data and dashboards for leadership decision-making.

Responsibilities

Own the Firmus Procore instance end to end, including configuration, permissions, templates, standards, and release management.
Act as the single point of contact for Procore across the business and the main relationship with Procore's account, support, and development teams.
Work with Procore to scope, build, and test customizations that fit how Firmus delivers projects.
Plan and lead a country-by-country rollout, starting with Tasmania, Sydney, Melbourne, Malaysia, and Indonesia, and extending to new regions.
Test configurations with project teams before go-live and set clear readiness criteria for each rollout.
Design and deliver practical training for in-country teams, on site and remotely, and build a network of local champions.
Map project information currently held in SharePoint, Aconex, and separate systems, and agree what moves, what is archived, and what stays.
Migrate projects one at a time, timed around key dates so live projects are not disrupted.
Keep any interim integrations simple, each with an agreed end date, and close old SharePoint and Aconex project workspaces once they are no longer needed.
Lead the integration of Procore with NetSuite (finance) and Procurify (procurement) so commitments, costs, invoices, and payments flow without re-entry.
Assess links to contractor-used platforms such as CxAlloy (commissioning and quality) and HammerTech (site safety and contractor management) over time, so Firmus receives contractor data without anyone entering it twice.
Build and maintain centralized, portfolio-level data and dashboards covering schedule, cost, risk, and contract status.
Automate the monthly portfolio reporting pack from a single data source.
Make the handover from project data to executive reporting reliable and traceable, supporting the weekly Portfolio Controls Group, monthly Executive Portfolio Review, stage-gate reviews, and Board reporting.
Replace manual status updates with live dashboards wherever possible, so meetings can focus on decisions.
Support Project Managers, the PMO, and Finance with budget, commitment, and change tracking, AP/AR visibility, and cashflow forecasting in Procore.
Help ensure every active project is baselined and reconciled to contracted customer dates.

Requirements

Hands-on experience as a Procore administrator, product owner, or platform lead, ideally across multiple projects or regions.
A track record of implementing enterprise business systems across multiple sites, from design and testing through to go-live and support.
Experience migrating data between systems and consolidating separate platforms.
Working knowledge of system integrations (APIs, middleware, or integration platforms) with ERP and finance systems.
Strong data and reporting skills, including building dashboards in Power BI or similar tools.
A sound understanding of project controls in capital projects: cost, schedule, change, risk, and stage-gate governance.
Experience designing and delivering training for users with different levels of digital confidence.
Clear communication with project teams, finance, executives, and vendors, and the confidence to push back on unnecessary complexity.
Ability to travel regularly across Australia and Asia, and to obtain any visas or work permits required.
