About the Role

This is a hands-on role for a natural problem solver focused on managing and improving regulatory compliance, child registration, and subsidy operations within a growing childcare organization. The role involves attention to detail, problem-solving, tracking information, and ensuring tasks are completed, while also coordinating projects and collaborating across departments. The position will also contribute to automation initiatives to enhance efficiency.

Responsibilities

  • Follow up on missing information, pending approvals, and unresolved issues.
  • Work directly with Registration and Subsidy teams to resolve problems and improve processes.
  • Maintain visibility into outstanding items and ensure they are followed through to completion.
  • Identify recurring issues and develop practical solutions to improve accuracy, efficiency, and the experience for families and internal teams.
  • Track required child health documentation, employee qualifications, licenses, certifications, renewals, and regulatory deadlines.
  • Research state specific requirements and translate them into practical procedures.
  • Review records, conduct audits, identify gaps, and follow through on corrective actions.
  • Address missing or expiring documentation before it becomes a compliance problem.
  • Maintain clear tracking and reporting so leadership can see what is complete, what needs attention, and what remains outstanding.
  • Identify where automation can make the biggest impact and work with appropriate teams to move improvements forward.
  • Learn existing workflows and identify repetitive tasks, inefficiencies, and opportunities for improvement.
  • Collaborate with each department's designated automation point person to evaluate, prioritize, and coordinate automation opportunities.
  • Help define requirements, clarify responsibilities, delegate action items, and coordinate next steps for automation projects.
  • Follow up with team members to monitor progress, resolve obstacles, and keep projects moving toward completion.
  • Review updated workflows to ensure they address the original problem and deliver the intended improvements.
  • Continue managing day to day operational issues while helping teams transition to more efficient processes.
  • Collaborate with Registration, Subsidy, Operations, HR, Finance and Business Transformation, and senior leadership to improve processes and support the organization's continued growth.

Requirements

  • Organized, resourceful, detail oriented, and comfortable balancing hands on work with project coordination.
  • Takes ownership, follows through, and looks for better ways to get things done.
  • Willing to dig into the details and resolve problems.
  • Able to coordinate projects, delegate tasks when appropriate, and hold people accountable for commitments.
  • Enjoys analyzing workflows and finding ways to simplify or automate repetitive work.
  • Able to manage multiple priorities, deadlines, and follow ups without losing track.
  • Comfortable with spreadsheets, databases, reporting tools, and learning new technology.
  • Communicates clearly and works effectively across departments.
  • Takes initiative and focuses on results.
  • Experience may include compliance, healthcare administration, registration or enrollment, subsidy or benefits administration, licensing, credentialing, auditing, operations, project coordination, or process improvement.
