About the Role

This role oversees the critical day-to-day coordination and execution activities that keep manufacturing plant projects and trials moving forward. You will focus primarily on organizing and running plant floor trials related to product, packaging, and process changes, maintaining detailed project documentation, and serving as a key link between the manufacturing site and corporate project teams in Canada and the United States. This is a 4-6 month coverage opportunity where you step into an established process, quickly learn the workflows, and ensure projects stay on track without needing to redesign how the team operates.

Responsibilities

  • Coordinate and execute plant floor trials, spending approximately 60-80% of your time on trial planning, setup, monitoring, and follow-up activities.
  • Own and maintain a comprehensive project tracker to keep timelines, deliverables, trial outcomes, and stakeholder communications organized and documented.
  • Represent the manufacturing plant in selected project meetings with corporate teams from Canada and the United States when local leadership cannot attend, taking clear notes and identifying action items.
  • Manage logistics and organization for all trial materials, ensuring they are prepared, organized, and delivered to the plant on time.
  • Inform and align the right internal stakeholders so that trial-related tasks are completed as planned and dependencies are understood.
  • Serve as the primary point of contact for specific smaller projects with corporate Business Development teams, facilitating information flow and status updates.
  • Work closely with engineering teams to assess whether existing equipment can handle new packaging formats and changes.
  • Understand and articulate the implications of packaging and product changes on the production line, including potential impacts on throughput and quality.
  • Follow up with corporate Business Development teams on project feasibility, clarifying requirements and communicating plant capabilities or constraints.
  • Provide administrative support for project documentation, including data entry, document control, and maintenance of project records and trial reports.
  • Coordinate project timelines and milestones, tracking progress and ensuring deliverables are completed on schedule.
  • Support cross-functional manufacturing projects involving Operations, Quality, Supply Chain, and R&D, helping align plant activities with broader commercialization and innovation initiatives.
  • Assist with projects related to product commercialization, R&D and innovation trials, packaging and ingredient changes, and plant trials.
  • Communicate clearly and professionally with stakeholders at the plant and corporate levels, ensuring expectations, risks, and outcomes are well understood.
  • Offer responsive customer service to internal stakeholders, addressing questions, resolving minor issues, and escalating concerns when necessary.

Requirements

  • Proven experience in administrative support or administrative assistance within a project or operations environment.
  • Experience with project coordination or project administration, including tracking timelines, deliverables, and stakeholder communication.
  • Strong data entry and document control skills with attention to detail and accuracy.
  • Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Demonstrated organizational and planning skills, with the ability to manage multiple tasks and priorities simultaneously.
  • Strong communication skills, both written and verbal, to interact effectively with plant personnel and corporate teams.
  • Comfort working in and interacting with people on a manufacturing plant floor, with a willingness to be dynamic and present in operations areas.
  • Ability to coordinate or manage projects, ensuring timelines, deliverables, and stakeholder updates are consistently maintained.
  • Background in engineering, food science, or project management, enabling effective understanding of technical and operational considerations.
  • College or university degree, preferably in engineering, business, food science, or a related field.
