About the Role
The Finance team plays a crucial role in the success of Billion Dollar Boy Group (BDB), ensuring the business operates efficiently, remains financially healthy, and has access to accurate and timely financial information to support decision-making. We are looking for a proactive, highly organised and detail-oriented Global Finance Assistant to join our team on a 12-month fixed-term contract to provide maternity cover. Working closely with the Global Finance Manager and Global Head of Finance, you will support the day-to-day financial operations across our global group of companies, including BDB Ltd, BDB Inc, IMCompanion and Creator Authority Inc. This is a varied, hands-on role covering key accounting processes, including raising sales invoices, processing and reconciling supplier invoices, bank reconciliations and maintaining accurate financial records across multiple entities. You'll play an important part in ensuring our finance processes run smoothly, taking ownership of your responsibilities while maintaining a high level of accuracy and attention to detail. We're looking for someone who is comfortable working in a fast-paced, international agency environment, takes initiative and is always looking for opportunities to improve processes and find smarter, more efficient ways of working.
Responsibilities
- Ensure accurate processing and reconciliation of multi-currency transactions, investigating and resolving foreign exchange discrepancies.
- Carry out daily checks to ensure all influencer invoices have been successfully imported from Companion into Xero, reviewing and posting invoices with accurate coding, clear descriptions and appropriate supporting information.
- Ensure influencer and other project-related costs are correctly linked to the relevant Salesforce opportunities, investigating and resolving any discrepancies.
- Process all other supplier invoices and business overheads in Xero daily, ensuring accurate nominal coding, VAT treatment and appropriate approval.
- Regularly reconcile supplier statements, identifying missing invoices or discrepancies and ensuring all costs are accurately captured ahead of month-end close.
- Investigate and resolve unmatched payments, unidentified receipts and incorrectly coded transactions, ensuring the ledgers remain accurate and up to date.
- Manage the setup of new suppliers, ensuring the necessary due diligence, verification and internal approvals have been completed.
- Raise ad hoc purchase orders as required, ensuring the correct allocation and approval processes are followed.
- Monitor and manage the AP inbox, responding promptly to queries from internal and external stakeholders and ensuring issues are resolved efficiently.
- Oversee employee expenses and card transactions submitted through Spendesk, conducting reviews at least weekly to ensure accurate project and nominal coding, clear descriptions, appropriate VAT treatment and valid supporting receipts.
- Ensure employee expenses are accurately recorded in Xero on a weekly basis.
- Work closely with the Paid Media team, holding regular reviews to verify credit card transactions, ensure all spend is accurately reconciled and allocated to the correct projects, and promptly investigate and resolve any discrepancies.
- Prepare and forecast weekly supplier payment runs, ensuring payments are made in line with agreed terms and sufficient funds are available across the relevant currency accounts.
- Execute approved payment runs accurately and on time, following the appropriate internal controls and authorisation procedures.
- Issue remittance advice to suppliers and resolve any payment-related queries.
- Complete daily bank reconciliations across the Group's bank accounts, promptly investigating and resolving any discrepancies.
- Perform weekly reconciliations of the Lumanu holding account and wallet, providing a clear reconciliation report and highlighting any outstanding items to the Global Finance Manager.
- Prepare and issue client invoices for the IMCompanion business, ensuring accuracy, timely billing and appropriate supporting information.
- Manage outstanding receivables for IMCompanion, proactively following up on overdue invoices, resolving client queries and escalating potential collection issues where necessary.
- Support the Finance team in delivering an accurate and timely month-end close, ensuring transactions, reconciliations and outstanding queries are completed within agreed deadlines.
- Maintain accurate, complete and well-organised financial records, ensuring supporting documentation is readily available for internal reviews and external audits.
- Proactively identify opportunities to streamline processes, improve accuracy and increase efficiency across the finance function.
- Work closely with the Global Finance Manager, Global Head of Finance and wider business to provide reliable financial support and respond to ad hoc requests.
- Support the Finance team with other duties and projects as required.
- Ensure adherence to internal financial controls, approval procedures and company policies, proactively identifying and escalating any discrepancies, risks or areas of non-compliance.
Requirements
- A minimum of 2 years' experience in a finance or accounting role, with a good understanding of core financial processes and accounting principles.
- Strong IT skills, including a good working knowledge of G-Suite, with the ability and willingness to quickly learn new systems and processes.
- A hardworking, dedicated and highly motivated individual who takes pride in their work, consistently gives their best and is willing to go the extra mile to get the job done.
- Takes full responsibility for their tasks, sees things through to completion and genuinely cares about delivering accurate, high-quality work.
- A proactive, results-driven mindset, with the determination to push tasks forward, overcome obstacles and consistently deliver against deadlines, even when priorities are competing.
- A positive, enthusiastic and solutions-focused approach.
- An inquisitive mind and a genuine desire to understand not just what you're doing, but why.
- Exceptional accuracy and attention to detail, with a commitment to getting things right the first time and maintaining consistently high standards.
- Excellent organisational skills, with the ability to manage multiple responsibilities, prioritise effectively and work at pace without compromising quality or missing deadlines.
- A resourceful and forward-thinking approach, with the confidence to identify potential issues early, investigate problems independently and propose practical solutions.
- The ability to remain calm, focused and productive under pressure, adapting quickly to changing priorities while maintaining a positive attitude.
- Excellent written and verbal communication skills, with the confidence to build strong working relationships with colleagues, suppliers and stakeholders at all levels.
- The ability to confidently guide and educate colleagues across the wider business on financial processes, helping to promote accuracy, compliance and best practice.
