Responsibilities

Manage our office in Berlin Neukölln, covering everything from equipment and orders to service providers and maintenance, including fire safety and security.
Administer laptops, company phones, and access for the office and construction site in collaboration with our IT service provider to ensure smooth operations.
Manage our growing vehicle fleet, including leasing, insurance, damages, workshop, TÜV and UVV appointments, fuel cards, and driver's license checks.
Organize work clothing and safety equipment, including inventory management, to ensure our construction site teams are always well-equipped.
Oversee pre-boarding and workplace setup for all new hires and independently manage onboarding days after initial training.
Maintain employee data in Personio and prepare monthly payroll for our external payroll accounting.
Plan internal events such as our Monthly Afterwork and the annual kickoff, and contribute to the digitalization of our HR processes.

Requirements

A commercial apprenticeship, such as in office management or personnel services, a degree with an HR or business administration focus, or a comparable qualification.
Ideally, at least two years of experience in HR administration, People Operations, Office Management, or as an Executive Assistant, preferably in a fast-growing company.
Experience in managing service providers or a vehicle fleet and a basic understanding of payroll accounting; experience with trade teams from construction, crafts, or energy is advantageous.
You manage multiple interfaces, from workshops and leasing companies to the construction site team, follow up consistently, and ensure agreements are kept.
Proficient in using Personio, Google Workspace, Slack, Notion, and AI tools, handle personal data confidentially, and maintain an overview even at high speed.
German at least C1 level, English at B2 level, and a Class B driver's license; Polish is a plus.
