About the Role

As the Property Operations Lead, you will guide our apartment and building operations and maintenance team in Germany and Austria. Your team will ensure approximately 650 apartments are always guest-ready, well-maintained, and reliably operational. You will provide clear direction and support to Property Managers and technicians, aligning the team on shared priorities, quality standards, and cost targets. You will assist in resolving complex issues and improving workflows across all cities, while staying connected to on-site operations and having the autonomy to develop the team and operational processes as Arbio grows.

Responsibilities

  • Lead a team of approximately 8 employees, including Apartment and Building Property Managers and technicians, and manage hiring and team development.
  • Establish cross-country coverage plans to prevent knowledge silos.
  • Develop and refine the operational model, including task division between apartment and building management, collaboration with bundled cleaning partners and their quality inspectors, and maintenance organization (technicians, external contractors, budget rules).
  • Oversee apartment quality from a guest perspective, focusing on cleanliness, condition, KPIs, guest reviews, and open maintenance tasks.
  • Act as the third escalation level for operational issues.
  • Manage maintenance and repairs, including technician scheduling and budget-approved quote releases.
  • Provide direction, make cost decisions within the four-figure range and agreed budget, and serve as the central escalation point for maintenance.
  • Serve as the escalation point for cleaning service providers and their quality inspectors, collaborating with the Operations Manager – Processes & Systems to shape their performance and incentive models.
  • Plan and execute renovations and major projects from inception to completion, including budget, timeline, and contractor coordination.
  • Lead weekly operational steering meetings with stand-ups, KPI analysis, and prioritization.
  • Oversee operational KPIs for monthly business reviews and manage operational projects, such as the introduction of Smart Locks.
  • Approve changes to Standard Operating Procedures (SOPs), contribute to the quality manual, and ensure optimal use of ticketing, PMS, and automation tools by the team.
  • Maintain cleaning, maintenance, and consumable costs within budget.
  • Conduct 2-3 random apartment inspections per week.

Requirements

  • 5 to 8+ years of operational experience in hospitality, serviced apartments, aparthotels, short-term rentals, or residential property management, with at least 2-3 years in a leadership role managing on-site teams (e.g., technical or housekeeping).
  • Experience managing external cleaning or housekeeping service providers using KPIs.
  • Successfully managed at least one renovation from start to finish, including budget, timeline, and contractor coordination, for over 10 apartments or rooms.
  • Proficiency in making and justifying cost decisions in the four-figure range.
  • Experience managing a multi-city portfolio and willingness to travel regularly to locations like Vienna, Hamburg, and Freiburg.
  • Structured, hands-on work approach: establish processes and KPIs, be on-site when needed, and escalate genuine obstacles.
  • Proficient in Property Management Systems (PMS) and ticketing tools, with a data-driven approach and a focus on scaling through automation rather than additional staff.
  • Fluent German for collaboration with tradespeople, property managers, and technicians.
  • Fluent English as the company language.
  • Enjoyment of building and further developing: ability to handle ambiguous frameworks and work within a corporate group utilizing shared central services.
