About the Role
Hyve is seeking a highly organized, proactive, and confident Creative Planner to join the Creative team. This role involves planning and coordinating creative delivery across the NNG portfolio of national and international events, functioning at the intersection of traffic and project management. You will manage day-to-day resources, ensure requester satisfaction, and build workflow frameworks to keep the team ahead of the curve. Reporting to the Head of Creative, you will collaborate with designers, copywriters, and senior stakeholders, remaining calm under pressure and balancing multiple deadlines.
Responsibilities
- Act as the single point of coordination for creative requests across the NNG events portfolio, receiving, triaging, and prioritizing incoming work and allocating it to the right designer, copywriter, or freelancer.
- Review briefs for completeness and clarity before work commences, and chase outstanding briefs and approvals.
- Understand lead times for different design and copy formats and plan resource accordingly, identifying and resolving potential problems.
- Source and brief freelance support from our network when capacity is limited, tracking freelance and outsourced spend.
- Build and maintain forward-looking creative plans and milestone calendars across the portfolio, setting key delivery dates for design and copy ahead of each event cycle.
- Map peak periods early, flagging resource pinch-points and capacity risks well in advance.
- Break campaign and event briefs into clear milestones, owners, and dependencies, and track progress against them.
- Anticipate bottlenecks, overlapping deadlines, and approval delays, and implement mitigation plans.
- Own and lead regular priority meetings with the Creative team to review live work, progress, and blockers, and agree on weekly priorities.
- Review team capacity against workload weekly, rebalancing work for optimal utilization without overloading the team.
- Attend weekly check-in meetings with brand teams to stay informed about upcoming work, ensuring new projects are organized, assigned, and briefed.
- Escalate conflicting priorities or capacity shortfalls to senior stakeholders with clear options and recommendations.
- Build strong relationships with senior stakeholders and requesters, managing expectations on timelines, scope, and priorities.
- Constructively push back on unrealistic timelines or late requests, offering alternatives that protect quality and delivery.
- Develop a campaign-level understanding of objectives to ensure planning decisions support event outcomes.
- Keep stakeholders informed with proactive updates and gather feedback to improve requester satisfaction and NPS.
- Act as the team's monday.com champion, managing the platform's setup and usage for planning, tracking, and managing all creative work, including boards, automations, and workflows.
- Create dashboards and regular reporting on workload, turnaround times, upcoming deadlines, and resource utilization for the Creative team and senior stakeholders.
- Develop and continuously improve planning frameworks, templates, and ways of working to help the team stay ahead of demand.
- Coach the team and requesters on best practices for consistent brief submission, updates, and approvals.
- Check work in progress and final deliverables against the brief, brand guidelines, and tone of voice, editing copy and providing feedback as needed.
- Collaborate with delivery teams to ensure marketing assets are produced and delivered in line with the campaign schedule and during the live event.
Requirements
- At least 3 years' experience in a creative traffic, studio management, project management, or creative planning role, ideally within a fast-paced agency or in-house creative team.
- Proven experience managing workflow, capacity, and resource for a multi-person creative team of designers and copywriters across overlapping deadlines.
- Good understanding of design and copy processes, lead times, and the specific requirements of different marketing channels.
- Experience building milestone plans, planning frameworks, and workflows, and improving team processes.
- Experience managing senior stakeholders, including setting expectations and pushing back when required.
- Strong working knowledge of monday.com (or a similar tool such as Asana or Workfront), including boards, automations, dashboards, and reporting.
