About the Role

The Coordinator, Workforce Operations supports assigned business units by managing employee scheduling, time and attendance, payroll preparation, and compliance with company policies and collective bargaining agreements (CBAs). This role requires strong attention to detail, operational judgment, and accountability for accurate and timely execution. The Coordinator works closely with Operations leaders, Human Resources, and employees to anticipate staffing needs, resolve workforce issues, and maintain a positive employee experience. The position requires an active presence within supported business units and flexibility to work evenings, weekends, and holidays based on operational needs.

Responsibilities

  • Manage daily workforce activities for assigned business units, including scheduling, time and attendance, payroll, and employee support, ensuring accuracy and timely execution.
  • Maintain an active presence across supported business units, building relationships with managers and employees, understanding operational needs, and proactively addressing workforce concerns.
  • Create and maintain employee schedules in accordance with staffing needs, employee availability, company policies, and collective bargaining agreements (CBAs), including managing shift coverage and staffing gaps.
  • Manage employee time and attendance, including worked hours, absences, clock exceptions, disputed hours, and attendance infractions, ensuring accurate records, timely corrections, and compliance with established policies.
  • Own payroll preparation and closeout for assigned business units, ensuring timekeeping exceptions, adjustments, coding, and approvals are resolved within established deadlines.
  • Coordinate new hire onboarding and scheduling readiness, ensuring required documentation, qualifications, and compliance training are completed before scheduling.
  • Manage employee time and attendance and policy compliance, including tracking attendance points, preparing disciplinary documentation, coordinating suspensions and terminations when warranted, and ensuring timely manager follow-up.
  • Manage employee lifecycle transactions, including status changes, terminations, reversals, leaves of absence, and time-off requests.
  • Review workforce data and reporting to identify discrepancies, recurring issues, and potential impacts to payroll, scheduling, and compliance.
  • Manage urgent employee and operational issues by gathering facts, troubleshooting, and identifying solutions.
  • Provide system and process training to employees and managers, reinforcing consistent application of workforce procedures and company policies.
  • Identify opportunities to improve workflows, reduce errors, and enhance the overall employee experience while maintaining accurate records and standard operating procedures.
  • Communicate operational updates and outstanding issues to the Supervisor and team, supporting cross-training, effective handoffs, and coverage during peak periods or staffing gaps.

Requirements

  • 1+ years of experience in workforce management, scheduling, payroll, Human Resources operations, or a related field.
  • Strong understanding of scheduling, time and attendance, payroll processes, and the impact of data accuracy on employee pay, compliance, and business operations.
  • Strong analytical skills, with the ability to review data, reconcile discrepancies, identify trends, and resolve issues accurately.
  • Proficiency in Microsoft Office, including Excel lookups, pivot tables, and formulas, with the ability to quickly learn workforce management systems.
  • Experience in a theater, arena, or similar high-volume operational environment, with knowledge of collective bargaining agreements and scheduling requirements preferred.
  • Confident, approachable, and collaborative, with the ability to maintain an active business presence, build relationships, and communicate effectively with employees and leaders at all levels.
  • Sound judgment, critical-thinking, and problem-solving skills, with the ability to work independently, recognize when escalation is necessary, and manage sensitive situations professionally.
  • Strong organizational skills, attention to detail, and the ability to manage competing priorities, high-volume interactions, and time-sensitive deadlines.
  • Demonstrated integrity, tact, diplomacy, and discretion when handling confidential employee and business information.
  • Provide exceptional experiences for our guests, partners, and team members, including by adhering to our appearance and presentation guidelines while on-site.
  • Must maintain a flexible schedule, including early mornings, evenings, weekends, holidays, and split days off.
  • Must meet established payroll deadlines, complete assigned timekeeping reviews, adjustments, and approvals, and actively support payroll close activities.
  • Must be willing to adjust schedules, support other business units, and provide hands-on assistance during staffing gaps, high-volume periods, and critical deadlines.
  • Must maintain an active onsite presence within supported business units, providing direct employee and manager support rather than functioning solely in an administrative capacity.
