About the Role

The Talent Acquisition Coordinator provides essential recruiting support by coordinating and streamlining all activities across the recruitment process. This role manages expectations and requirements for candidates, recruiters, hiring managers, and other stakeholders to ensure hiring activities progress efficiently and effectively. As a central point of contact, you will maintain clear communication, support interview logistics, and safeguard data integrity and process compliance.

Responsibilities

  • Coordinate interview scheduling by partnering closely with recruiters, hiring managers, interviewers, and candidates to arrange phone, video, onsite, and MS Teams interviews.
  • Manage logistics for interviews, including room reservations, video and phone conferencing details, and MS Teams links, ensuring all participants receive accurate information in a timely manner.
  • Reschedule interviews as needed, balancing changing priorities and availability while maintaining a smooth candidate and stakeholder experience.
  • Prioritize incoming scheduling and coordination requests against current workload to meet deadlines and support high-volume recruiting needs.
  • Communicate promptly and professionally with candidates, recruiters, hiring managers, and other stakeholders throughout the recruitment process, providing updates and clarifying next steps.
  • Facilitate travel and expense (T&E) requests and reimbursement processes for candidate interviews, ensuring compliance with established guidelines.
  • Support and help coordinate Talent/Super Days, acting as a specialist for these high-volume interview events and ensuring seamless execution.
  • Serve as a primary point of contact for candidates throughout the recruitment lifecycle, acting as a concierge to guide them through each stage.
  • Welcome and escort candidates for onsite interviews when applicable, creating a positive and organized onsite experience.
  • Manage ad-hoc issues such as scheduling conflicts, delays, and interviewer no-shows, resolving problems quickly and professionally.
  • Attend and participate in interview debrief calls when applicable, helping ensure follow-up actions are captured and executed.
  • Ensure compliance with all established recruiting processes and procedures, maintaining consistent standards across all activities.
  • Safeguard data integrity within applicant tracking systems and recruiting tools by accurately entering, updating, and maintaining candidate and interview information.
  • Partner with the broader and global talent acquisition team on additional initiatives and projects, contributing to continuous improvement of recruiting operations.
  • Act proactively in navigating a corporate environment, anticipating needs and identifying opportunities to improve scheduling and coordination workflows.

Requirements

  • Strong organizational and prioritization skills to manage complex schedules and multiple concurrent requests.
  • Proven ability to manage multiple high-priority requests simultaneously while maintaining accuracy and attention to detail.
  • Excellent professional communication skills, both written and verbal, to interact effectively with candidates and internal stakeholders.
  • Demonstrated experience in scheduling and coordination, ideally within recruiting, talent acquisition, or HR environments.
  • Ability to work effectively with multiple stakeholders, including recruiters, hiring managers, candidates, and external contacts.
  • Strong time management skills and flexibility to adapt to changing priorities and high-volume demands.
  • Problem-solving and critical thinking skills to address scheduling issues, conflicts, and unexpected changes quickly and effectively.
  • Ability to act proactively and navigate a corporate environment, taking initiative and working with minimal supervision.
  • Experience with applicant tracking systems or recruiting systems, with preference for familiarity with Workday.
  • Hands-on experience with Workday or similar applicant tracking systems.
  • Prior recruiting coordination experience supporting interview scheduling and candidate logistics.
  • Background in human resources or recruiting, with exposure to corporate recruiting processes.
  • Experience supporting high-volume scheduling environments, such as large technology organizations or fast-paced corporate recruiting functions.
  • Comfort working with technology stakeholders and recruitment delivery teams in complex organizational settings.
  • Candidates from any industry with relevant coordination and scheduling experience are encouraged to apply.
