About the Role

This role supports the changing way Fremantle does business by increasing AI adoption across all back office functions. You will identify and embed AI experimentation to drive efficiencies, coordinate project leads, and ensure projects stay on track.

Responsibilities

  • Run regular check-ins with labels and head-office functions to surface pain points and opportunities, turning scattered conversations into a live, prioritised backlog.
  • Determine business needs and translate them into clear, buildable requests.
  • Coordinate the fortnightly Head Office Productivity Working Group and monthly Head Office Functional Productivity Group, including agendas, actions, minutes, and follow-up.
  • Chase open actions across all working groups to keep the programme moving.
  • Own and maintain the master register of ideas, in-flight builds, and live automations, serving as the single source of truth.
  • Track adoption, usage, and time-saved data for live tools to support reporting.
  • Onboard new champions, maintain the champions network directory, and coordinate showcase/competition events.
  • Maintain the communication channel for AI productivity, posting updates and wins.
  • Coordinate scheduling of upskilling sessions with HR's L&D team.
  • Act as the first point of contact for teams asking about AI adoption, routing them to the right resource.
  • Flag risks, blockers, and slipping timelines to the Productivity AI Lead.
  • Own visibility of the overall programme calendar and timeline.

Requirements

  • 2-5 years in a coordination, project support, operations, or programme administration role, ideally in a fast-paced or matrixed organisation.
  • Exceptional organisation skills, able to juggle multiple workstreams, meetings, and deadlines.
  • Experience coordinating regular meetings or working groups end-to-end: scheduling, agendas, minutes, action logs, and follow-up.
  • Confidence in maintaining an accurate tracker or register and pulling simple progress reports.
  • Good working knowledge of Excel or Google Sheets, including filters, simple formulas, and basic charts.
  • Comfortable following up with colleagues at all levels politely and persistently to keep actions moving.
  • Clear, friendly written and verbal communication skills, able to write concise updates.
  • Confidence in building relationships across different teams and seniorities.
  • Regular user of everyday AI tools (e.g. ChatGPT, Copilot, Gemini, Claude) with a genuine interest in their application.
  • Ability to spot and flag risks, blockers, or slipping timelines early.
  • Experience in media, entertainment, or a production business (desirable).
  • Experience supporting a change, transformation, or technology rollout project (desirable).
  • Experience organising events, showcases, or internal communications (desirable).
  • Familiarity with Microsoft Teams, SharePoint, Planner, or similar collaboration tools (desirable).
  • Some exposure to simple automation tools (e.g. Power Automate) or an appetite to learn (desirable).
