About the Role

This role focuses on understanding how people use AI in their daily tasks and increasing its adoption across all back-office functions. It involves identifying experimentation areas, testing usefulness, and embedding solutions to drive efficiencies. The position requires a hands-on approach to process analysis and improvement for back-office teams.

Responsibilities

  • Champion network & governance: Initiate and lead monthly AI Productivity meetings with nominated champions and local leads.
  • Build and chair a fortnightly Head Office Productivity Working Group with IT, L&D, and other key stakeholders to coordinate AI adoption.
  • Business partnership & implementation: Act as the main point of contact between central productivity capability and the business.
  • Implement proven solutions across different teams.
  • Collaborate with Production AI Heads to align central best practices with production-facing AI work.
  • Work with the Bertelsmann AI Hub to leverage existing training and tools.
  • Tooling, automation & the technology roadmap: Partner with IT to manage the productivity tooling roadmap and prevent duplicate purchases.
  • Set strategic direction for automation and agentic workflows, defining simplification, automation, or agent handover processes.
  • Define risk, quality, and sign-off boundaries for team builds.
  • Build prototypes, lightweight apps, and scripts, and automate solutions end-to-end.
  • Manage the AI Productivity Executive responsible for delivering automation and AI projects.
  • Capability, incentives & communication: Work with HR's L&D team to build and maintain a clear upskilling plan.
  • Own the incentive and recognition mechanism for productivity gains.
  • Accountable for a single, findable communication channel for AI productivity.
  • Track and report impact on adoption, time saved, and tools live to senior management.
  • Build a simple maturity framework for labels/teams to assess their progress.
  • Represent Productivity AI in cross-functional forums involving Show Database / Data & Analytics teams.

Requirements

  • Strong grounding in data, including SQL and/or Python, data modeling, APIs, and structured/unstructured data.
  • Hands-on experience designing and building AI agents and agentic workflows (e.g., Copilot Studio, Gemini Enterprise, Claude Projects) and connecting them to business data sources.
  • Confident using AI-assisted coding tools (e.g., Claude Code, GitHub Copilot) for rapid prototyping.
  • Practical experience automating business processes with tools such as Power Automate, Power Apps, or Logic Apps.
  • Ability to bridge business problems and technical solutions, with credibility among senior stakeholders and engineers.
  • Proven experience line-managing and developing a small team, including setting objectives, conducting 1:1s, and performance reviews.
  • Experience setting up a team from scratch, including hiring, onboarding, defining roles, and establishing ways of working.
  • Track record of prioritizing and allocating work across a team, balancing quick wins with longer projects.
  • Proven experience driving adoption of new tools or ways of working in a complex, federated organization.
  • Ability to map and analyze workflows and determine appropriate solutions (simplification, automation, or agent handover).
  • Ability to influence senior stakeholders and peers without direct authority.
  • Experience building and running a sustainable community of practice or champions network.
  • Experience setting baselines and tracking benefits (adoption, time saved, cost) to present an impact case to senior finance stakeholders.
  • Working knowledge of AI risk, data protection (GDPR), information security, and IP to set sensible guardrails.
  • Experience running governance forums and a roadmap with competing priorities, delivering to deadlines.
  • Excellent communication skills, able to make AI practical for non-technical audiences, present confidently to executives, and deliver upskilling.
