About the Role

We are seeking a hands-on Finance Manager to lead accounts receivable, client media balance, and finance operations. This role is the primary point of contact for account managers and clients on invoicing, owns the reconciliation of client media advances against media vendor purchases, and manages a two-person offshore team. The ideal candidate is a process-minded operator comfortable configuring systems, actively uses AI, and is energized by building a more efficient and accurate finance function.

Responsibilities

  • Own reconciliations of all client media balances, tracking client media advances against media vendor purchases to determine remaining funds available for media buying.
  • Serve as the primary Accounts Receivable Manager, partnering with company account managers and clients to generate accurate, timely invoicing in accordance with contract terms.
  • Report remaining media funds to account managers and media buyers to prevent campaign overspending.
  • Manage and delegate day-to-day invoicing to a full-time offshore team member, providing direction, review, and quality control.
  • Supervise the weekly cadence of master data setup for new clients and jobs across finance and operations tools, delegating execution to a dedicated offshore Finance Operations Analyst.
  • Ensure data accuracy and consistency across systems, resolving data inconsistencies and errors flagged by the team.
  • Oversee bi-weekly payroll administration support, ensuring paperwork prepared by the Finance Operations Analyst is complete, accurate, and on time for review and processing.
  • Review aged AR reporting and support account managers in collecting client cash, escalating at-risk balances as needed.
  • Participate in the month-end close, preparing and supporting balance sheet and other reconciliations as required.
  • Identify and recommend ERP configuration enhancements that drive more efficient and accurate processing and reconciliations.
  • Actively explore and implement AI-enabled tools and workflows to automate manual tasks and improve team productivity.
  • Coach, train, and develop offshore team members, ensuring recurring weekly and bi-weekly deliverables are completed accurately and on schedule.
  • Own process documentation and controls for all delegated tasks to support consistency and audit readiness.
  • Continuously identify recurring finance and operations tasks that can be shifted from local resources to the offshore team, and expand team scope accordingly.

Requirements

  • Bachelor's degree in Accounting, Finance, or a related field.
  • 5+ years of progressive experience in accounting or finance, with significant hands-on accounts receivable, billing, and reconciliation experience.
  • Prior management of offshore resource teams a strong plus.
  • ERP configuration experience and comfort learning new tools and processes.
  • Familiarity with Deltek Workbook, Guidelines, Teamwork, Vena, or similar agency and FP&A platforms a plus; experience with master data management a plus.
  • Exposure to payroll administration processes a plus.
  • Hands-on experience using AI tools and a demonstrated drive to find efficiencies by leveraging AI (required).
  • Experience supporting month-end close and preparing account reconciliations.
  • Strong communication skills and comfort working directly with account managers and clients.
  • Advanced Microsoft Excel skills and high attention to detail.
  • Experience in a media agency, advertising, or project-based business, including media billing or client media funds, a strong plus.
