About the Role

We are seeking a Legal Administrative Assistant with proven experience in a law firm or legal setting who can step in and contribute from day one. In this fast-paced role, you will keep our office running smoothly while providing direct support to our Intake, Records, and Paralegals, Attorneys, and Finance departments. You will handle front office operations, mail processing, document management, and filing, and you will be a dependable resource to our paralegals and attorneys. You will also assist with new hire workstation setup and conference room technology, so comfort with both legal administrative work and basic technical tasks is important. Because of the pace of our firm, we are looking for someone who already knows their way around a legal office and needs minimal onboarding.

Responsibilities

  • Manage incoming and outgoing mail distribution, including time-sensitive legal correspondence, and operate the Pitney Bowes postage machine to process, meter, and track outgoing mail, including certified mail and packages
  • Handle e-faxing, scanning, and e-document management with accuracy and attention to confidentiality
  • Maintain and organize a complex physical and electronic case filing system
  • Process checks, close addendums, and handle deposits accurately
  • Provide overflow support to Intake, Records, Pre-Litigation and Litigation paralegals, including records requests, document organization, and case file preparation
  • Assist the receptionist with front desk coverage, including client greeting and professional call handling
  • Support management with daily and weekly calendar coordination, including scheduling and deadline tracking
  • Set up new hire workstations, including connecting and organizing monitors, computers, docking stations, phones, and peripherals, with clean cable management
  • Prepare and troubleshoot conference rooms for client meetings, depositions, and mediations, including connecting displays, video conferencing equipment, speakerphones, and cables
  • Manage office inventory and supplies, placing orders within budget
  • Assist with general office administration
  • Other duties as needed to help drive our Vision, fulfill our Mission, and stay in line with our Values

Requirements

  • Minimum of 2 years of experience as a legal assistant, legal secretary, or administrative assistant in a law firm (personal injury experience strongly preferred)
  • Experience preparing and sending certified mail (including return receipt and tracking) through a postage meter or mailing system
  • Hands-on experience with e-filing systems
  • Working knowledge of legal terminology, document handling, and confidentiality standards
  • Experience with case management software (e.g., Filevine, Clio, or similar)
  • Comfortable with hands-on technical tasks, including setting up computer workstations, connecting peripherals, and managing cables and basic AV equipment
  • Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint)
  • Strong organizational skills and high attention to detail
  • Excellent phone etiquette and written and verbal communication skills
  • Ability to maintain strict confidentiality with sensitive client information
  • Ability to thrive in a fast-paced, deadline-driven environment
  • Willingness to take on a variety of tasks
