About the Role
Oversee and coordinate multiple operational departments including scheduling, qualification, authorization, customer service, and delivery operations for Durable Medical Equipment (DME), Positive Airway Pressure (PAP) devices, and oxygen therapy services. Ensure integrated operational excellence, drive performance optimization, regulatory compliance, and strategic initiatives.
Responsibilities
- Lead and coordinate multiple operational departments including scheduling, qualification, authorization, and customer service teams.
- Manage department managers, supervisors, and cross-functional teams.
- Develop and implement integrated operational strategies to optimize workflow efficiency, resource utilization, and service delivery.
- Lead strategic planning initiatives, establish operational goals, and drive continuous improvement programs.
- Monitor and analyze key performance indicators across multiple departments.
- Generate executive reports, identify trends, and implement corrective actions.
- Ensure seamless coordination between scheduling, qualification, authorization, billing, clinical, and delivery teams.
- Lead cross-departmental projects and resolve operational conflicts.
- Develop and manage operational budgets for multiple departments.
- Monitor expenses and optimize resource allocation.
- Ensure all operational activities comply with Medicare guidelines, Medicaid requirements, state regulations, and industry standards.
- Oversee compliance audits and manage regulatory reporting.
- Design and implement comprehensive training and development programs for operational staff.
- Conduct performance evaluations and manage succession planning.
- Lead technology implementations, system upgrades, and process automation initiatives.
- Collaborate with IT department on system integrations, data analytics, and digital transformation projects.
- Drive customer-centric operational initiatives to enhance patient satisfaction and service delivery quality.
- Implement voice-of-customer programs and resolve escalated customer issues.
- Manage relationships with technology vendors, service providers, and external partners.
- Oversee contract negotiations and vendor performance evaluations.
- Identify and mitigate operational risks and develop contingency plans.
- Lead organizational change initiatives, process reengineering projects, and operational transformation programs.
- Maintain patient confidentiality and function within HIPAA guidelines.
- Complete assigned compliance training and other education programs.
- Maintain compliance with AdaptHealth's Compliance Program.
- Perform other related duties as assigned.
Requirements
- Associate’s degree in healthcare administration, Business Administration, Finance, or related field required.
- Bachelor’s degree in healthcare administration, Business Administration, or related field preferred.
- 8+ years of healthcare operations management experience required.
- Previous experience managing DME, respiratory services, or healthcare qualification operations preferred.
- Previous experience in DME, respiratory services, or healthcare operations preferred.
- Proficiency with computers, office equipment, and audit software applications.
- Sustained concentration, diligence, and ability to manage confidential information with discretion.
- Professional verbal and written communication skills for stakeholder interactions at all organizational levels.
- Ability to work independently with minimal supervision.
- Availability for extended hours when required.
