About the Role

We are seeking a highly organized, proactive, and service-oriented Coordinator to support the day-to-day management and tenant support of our San Francisco Bay Area commercial portfolio. This role is ideal for someone who thrives in a dynamic environment, enjoys solving problems, and takes pride in delivering exceptional tenant service and operational excellence.

Responsibilities

  • Serve as a first point of contact for tenant questions, service requests, and day-to-day communications across the San Francisco office portfolio.
  • Answer the main telephone line and shared inbox; enter tenant requests as work orders in MaintainX, route them to the appropriate vendor or team member, and follow up through completion.
  • Meet vendors on site, coordinate building access, escort vendors as needed, and confirm assigned work has been completed.
  • Help coordinate tenant move-ins, move-outs, access requests, and suite walk-throughs.
  • Prepare and send tenant notices regarding shutdowns, inspections, maintenance work, access, and building updates.
  • Maintain accurate work order, tenant communication, and building activity records.
  • Collect and track vendor certificates of insurance and maintain current vendor contact information.
  • Manage keys, access cards, and building access lists, including issuance, returns, and recordkeeping.
  • Keep property files organized and current, including vendor, tenant, insurance, inspection, and operational records.
  • Track open items and deadlines and provide clear updates to the Vice President.
  • Pull key dates and terms from leases, including rent commencement, renewal options, and notice deadlines, for review by the Vice President.
  • Help maintain lease abstracts, critical-date tracking, and tenant records in Yardi or other company systems.
  • Assist with organizing lease documents and supporting materials for tenant, leasing, lender, investor, or ownership requests.
  • Manage calendars for the Vice President and President, including meetings, property tours, and travel between San Francisco and New York.
  • Prepare meeting materials, take notes, and track action items and deadlines.
  • Prepare and submit expense reports and route invoices for review and approval.
  • Handle confidential business and personnel information with discretion and sound judgment.
  • Coordinate office supplies, mail, deliveries, visitors, and other day-to-day administrative needs.
  • Provide general administrative support and help keep priorities, follow-up, and schedules organized.
  • Coordinate across property management, asset management, accounting, leasing, construction, and executive leadership.
  • Provide coverage and administrative support across the San Francisco portfolio as needed.
  • Give timely, accurate updates on open items and flag urgent tenant, building, scheduling, or cost issues early.

Requirements

  • One to two years of experience in an office, front desk, administrative, customer service, or similar support role.
  • Strong organization and follow-through, with the ability to manage multiple small details, deadlines, and priorities without losing track of open items.
  • Clear, professional written and verbal communication and a strong telephone manner.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Ability to handle confidential information with discretion and sound judgment.
  • Ability to work full time, Monday through Friday, from the San Francisco corporate office; this is an in-person position and not a remote role.
  • Ability to travel locally among San Francisco and Bay Area properties as needed.
  • Ability to walk properties, use stairs, and enter building service and mechanical areas when needed.
  • Valid CA driver’s license; travel between properties as needed.
  • Authorized to work in the U.S.; background check may be required.
