The firm serves clients nationwide with offices in Texas, Colorado, Arizona, New Mexico, and Florida.

Responsibilities

  • Receive, acknowledge, and track incoming referrals, verifying essential details before outreach.
  • Gather intake information, case summaries, records, and deadlines, coordinating conflict checks and attorney review.
  • Manage the referral process through acceptance, decline, or decision, keeping referring firms informed.
  • Obtain and save approved referral agreements, client engagement documents, and supporting records.
  • Maintain the pending referral queue and send authorized referrals to approved firms.
  • Follow up on pending placements, coordinating written acceptance and required documentation.
  • Draft withdrawal and transfer letters, obtaining client agreement and consent before completing transfers.
  • Securely transmit authorized case files and confirm receipt and acceptance of representation.
  • Monitor active referred-out cases and cases where the firm retains interest through resolution.
  • Obtain and save applicable documents for ongoing cases, recording changes and escalating missing information.
  • Maintain referral-partner information by state, practice area, case criteria, and availability.
  • Build professional relationships with referral partners through responsive communication and feedback.
  • Keep practice management records and referral trackers current.
  • Save correspondence and documents in designated case folders, protecting confidential information.
  • Audit records regularly, correct discrepancies, and submit Closing File Checklists.
  • Coordinate with Finance for case-cost and trust-liability ledgers, communicate expense-reimbursement requests, and track referral fees.
  • Draft Closing Statements, compile payment documentation, and reconcile with Finance.
  • Prepare scheduled reports on referrals, review times, pending matters, and costs, identifying bottlenecks and recommending improvements.

Requirements

  • Bilingual (English and Spanish) communication skills.
  • Paralegal degree, training, or certification from an ABA-approved program.
  • Two years of experience in personal injury or medical malpractice law firm referrals, intake, legal assistant, paralegal, or case coordination.
  • Clear, professional communication with attorneys, referral partners, prospective clients, and clients.
  • Strong organization, accuracy, and follow-through skills.
  • Ability to manage a high volume of matters, prioritize deadlines, and work independently while following procedures.
  • Proficiency with practice management or CRM systems, email, spreadsheets, electronic documents, and digital file management.
  • Ability to learn the firm's systems and complete required training.
  • Sound judgment with confidential information and understanding of when attorney review is required.
  • Experience with personal injury or medical malpractice matters, law firm referral relationships, client transfers, or referral-fee tracking (preferred).
