About the Role

The Practice Coordinator (PC) will provide proactive, high-quality support to Partners and senior leaders across Audit Operations and Audit Technology & Transformation. The role combines executive and administrative support with meeting, information, documentation, and follow-up coordination to help leaders manage their time, materials, commitments, and recurring administrative requirements. The PC acts as a key administrative point of coordination for the leaders they support by anticipating needs, organizing schedules and information, preparing and managing materials, coordinating logistics, and helping ensure agreed follow-up actions are recorded and progressed.

Responsibilities

  • Provide proactive administrative and coordination support to assigned Partners, Senior Managers and their teams.
  • Manage Partner calendars and priorities, helping optimize time and coordinate competing commitments.
  • Coordinate meetings, conference calls, events and working sessions, including agendas, materials, logistics and follow-up actions.
  • Prepare daily or weekly meeting materials by assembling agendas, prior minutes, relevant correspondence, approved briefing documents, links and pre-reads; identify missing materials and coordinate follow-up.
  • Support email and correspondence administration by organizing agreed folders or delegated mailboxes, identifying items requiring attention or follow-up, drafting routine responses from direction and approved sources, and tracking outstanding correspondence.
  • Coordinate travel arrangements, expenses and other recurring administrative requirements.
  • Prepare, edit, format and proofread presentations, correspondence, reports and other leadership materials, ensuring accuracy and alignment with firm standards.
  • Use firm-approved AI tools to support administrative productivity, including summarizing meetings, documents and email threads; preparing first drafts of routine correspondence, agendas, minutes and follow-up messages; extracting actions, decisions, dates and owners; comparing document versions; and organizing approved information.
  • Provide administrative coordination for Audit Operations and Technology & Transformation activities by maintaining agreed schedules, meeting calendars, action logs and document repositories; coordinating inputs; issuing reminders; and escalating overdue items to the accountable owner.
  • Gather updates from accountable owners and consolidate them into established templates, trackers and meeting materials, without assuming responsibility for the underlying analysis, performance assessment or portfolio reporting conclusions.
  • Assemble, organize and distribute approved information required for meetings and decisions, ensuring materials are complete, current, appropriately stored and available to participants.
  • Maintain action logs and follow up on commitments arising from leadership meetings, projects and key practice initiatives.
  • Support town halls, leadership meetings, communications activities and other Audit Centre events as required.
  • Work collaboratively with other Audit Centre PAAs, Strategy & Operations and broader Audit Centre teams to provide consistent coverage and seamless support.
  • Coordinate with other Audit Centre Practice Coordinators to share resources, coordinate broader Audit Centre activities and work as a cohesive business unit.
  • Review expense reports from all Group members and approve expense reports for below manager members.
  • Leverage firm processes and programs to ensure active support of the business.
  • Coordinate with the Office Manager in Onboarding activities for the Group new hires and campus hires, temporary hires, secondees, and experienced hires.
  • Coordinate with the Office Manager in Offboarding activities when someone leaves the department.
  • Provide learning coordination support for the group.

Requirements

  • College diploma or an equivalent combination of education/experience in administrative assistant skill set.
  • Minimum of 5 years administration experience.
  • Proven ability to deal with sensitive materials with a high degree of tact and discretion.
  • Advanced proficiency with Outlook, Excel, PowerPoint, Teams, Adobe and Copilot, including responsible use of approved AI tools for drafting, summarization, information organization and recurring administrative workflows, with the ability to quickly learn firm systems.
  • Ability to critically review AI-assisted outputs, validate information against authoritative sources and recognize when human judgment or escalation is required.
  • Strong attention to detail with an aptitude for proofreading, suggesting alternatives and making modifications.
  • Strong organization, prioritization and coordination skills, with the ability to manage multiple priorities independently.
  • Strong administrative coordination and information-management skills, including maintaining calendars, timelines, action logs, document repositories, submission schedules and established status templates.
  • Strong PowerPoint and document production skills with experience preparing polished materials for Senior Leaders and meetings.
  • Excellent communication skills and sound judgment when working with senior leaders and confidential information.
  • Strong attention to detail and a focus on high-quality, timely execution.
  • Ability to anticipate needs, take ownership and follow through with limited direction.
  • Confidence working across multiple teams and stakeholders in a fast-moving environment.
  • Administrative or executive support experience; experience supporting senior leaders is an asset.
  • The selected candidate must demonstrate excellent communication and presentation skills, with the ability to clearly explain and simplify complex audit and reporting matters for diverse audiences.
