About the Role

Normal is an applied AI company solving the hardest problems in AI and silicon. We build foundational hardware and software for the semiconductor industry, critical AI infrastructure, and the broader systems that power our world. We are hiring an Events & Conferences Specialist to share our ambitious hardware and applied AI work to customers, talent, investors and industry leaders. You will join a scaling Communications and Marketing team, producing Normal-hosted events and delivering our participation in industry conferences and executive appearances. Reporting to the Head of Communications, you will own hands-on delivery from approved event brief through on-site execution and follow-up. You will contribute ideas for Normal-hosted events, helping develop engaging formats and activities and carrying them through production. You might be coordinating a hardware demonstration at a major conference or supporting an executive appearance at an international forum. You will work with senior leaders, VIP guests and production partners to bring Normal’s work to the world stage. You care about the craft of engaging in-person experiences. You notice how a room feels, how a program flows and whether guests feel welcome and involved. You’re cursed with the responsibility gene that means you notice gaps and act before it becomes a problem. You bring structure to ambiguous work, anticipate what people will need and fight whiplash when plans change.

Responsibilities

  • Organize event operations: Maintain a central pipeline of owned and sponsored events, tracking schedules, staffing and production capacity and flagging resource conflicts.
  • Confirm needs and prepare participants with GTM, Talent and other internal teams.
  • Arrange venues and registration within the approved brief, with Social & Brand leading the audience experience.
  • Manage vendors: Source event vendors, develop scopes and estimates, and track spending against budgets.
  • Coordinate contracts with Finance and Legal.
  • Produce collateral: Work with Design and production partners on booths, signage, presentations and branded materials.
  • Gather specifications, consolidate feedback, check proofs and arrange production, shipping and inventory.
  • Execute onsite logistics: Arrange hardware deployments, setup and rehearsals; technical teams own demo content and readiness.
  • Handle speaker and VIP briefings, arrivals and stage logistics, plus press schedules, preparation and approved materials with Media & PR.
  • Run on-site delivery: Drive setup, run-of-show and teardown.
  • Keep crews and participants ready and solve problems on site.
  • Represent Normal: Be an ambassador for Normal at conferences and events, engaging with key external partners and stakeholders.
  • Welcome guests, talk with attendees about our technology and products, build relationships and connect people with the right colleagues.
  • Manage event closeout: Hand relevant contacts, requests and conversation context to GTM, Talent or the appropriate team for follow-up.
  • Coordinate returns, invoices, payments, refunds and credits with vendors and Finance.
  • Capture attendee questions, results and lessons for future events.

Requirements

  • Experience delivering conferences, events or live productions.
  • Two to four years of experience, or demonstrate the same capabilities through another background.
  • Show events you personally delivered and the part you owned.
  • Make sensible tradeoffs and know when to act independently or bring a decision or problem to your manager.
  • Show a problem you anticipated, a roadblock you removed or a project you recovered.
  • Can get a decision from a busy executive’s office, negotiate a last-minute change with a producer and put a nervous speaker at ease.
  • Know how to push for what an event needs while making people feel well looked after, and handle sensitive conversations with discretion.
  • Experience handling mission-critical events or live productions that represented a brand to important audiences.
  • Can explain what you personally owned, how you handled pressure and how you protected quality, deadlines and external relationships.
  • Learn Normal's unique technology and products well enough to understand event and demo requirements and ask useful questions.
  • Willingness to travel for team collaboration, industry conferences and company-hosted events as needed.
