About the Role

We are seeking a friendly, organized Seasonal Philanthropy Associate to support the Philanthropy team during our busiest donor engagement season. This role involves responding to donor and customer inquiries, assisting with order placement and tracking, and providing administrative and fulfillment support for holiday campaigns.

Responsibilities

Respond warmly and professionally to donor and customer questions by phone and email.
Explain available holiday products, ordering instructions, deadlines, and shipping information.
Assist supporters with placing orders and confirm necessary details.
Research and resolve routine order questions, including status, missing information, and delivery concerns.
Make routine corrections to orders and refer exceptions to appropriate staff.
Enter and update order information in the designated platform and tracking tools.
Record relevant customer communications for colleague follow-up.
Check assigned orders for completeness and accuracy before fulfillment.
Maintain a shared list of unresolved requests and alert supervisors to delays or issues.
Prepare standard labels, packing lists, gift messages, and other order materials.
Assist with quality checks and light packing when customer service coverage allows.
Share order corrections and customer instructions with fulfillment staff or volunteers.
Support routine campaign-related mailings when assigned and primary duties are covered.

Requirements

Experience helping customers, donors, guests, or community members in a service-oriented setting (retail, hospitality, nonprofit, office support, or volunteer service).
Clear, friendly written and verbal communication skills.
Strong attention to detail, especially with names, addresses, order information, and personalized messages.
Basic comfort with email, spreadsheets, and online systems, with a willingness to learn new tools.
Ability to follow procedures, organize assigned work, and recognize when supervisor attention is needed.
Reliability, discretion, and care when handling customer and donor information.
Ability to sit, stand, walk, bend, reach, and move throughout the workday.
Ability to prepare, package, label, organize, and ship holiday gifts and campaign materials.
Ability to lift and move boxes, supplies, and packaged materials.
Ability to work extended hours during peak holiday campaign periods and other high-volume, time-sensitive fulfillment periods.
