Responsibilities
- Own the day-to-day administration of health and welfare, retirement and pension, wellbeing, and perquisite programs across EMEA and APAC.
- Process new joiner enrollments, qualifying life events, changes, and terminations accurately and within required timelines, in partnership with local providers and HR teams.
- Coordinate benefits activities for onboarding and new-joiner orientation, ensuring employees receive clear and timely information about available programmes.
- Maintain accurate employee and plan data in HRIS and benefits platforms; perform regular audits, reconciliations, and quality checks with Payroll and providers.
- Monitor service levels, resolve operational issues, and maintain clear records of decisions, exceptions, and outstanding actions.
- Manage day-to-day relationships with brokers, consultants, insurers, pension providers, wellbeing partners, and third-party administrators to promote service quality and accountability.
- Review provider performance, invoices, service issues, contractual obligations, and escalations; track actions through to resolution.
- Manage the regional annual renewal calendar, coordinating data gathering, timelines, meetings, approvals, and implementation activities across multiple countries.
- Partner with brokers, insurers, pension providers, and consultants on plan design options, market benchmarking, cost analysis, rate negotiations, and renewal recommendations.
- Prepare concise analysis and recommendations for leadership review, including participation, utilization, market practice, cost, and risk considerations.
- Lead the implementation of renewed or newly appointed plans, including documentation, system configuration, payroll coordination, employee communications, and post-launch validation.
- Support the design and rollout of new benefits programs, plan changes, harmonization initiatives, and process improvements across EMEA and APAC.
- Develop and maintain project plans, milestones, risk logs, stakeholder updates, and implementation checklists for benefits-related initiatives.
- Coordinate with Payroll, HR Operations, Legal, Marketing, regional HR Business Partners, and local office leaders to deliver changes accurately and on time.
- Lead the launch of benefit programmes for new office locations, market expansions, or other organizational changes, as required.
- Be the go-to point of contact for Benefits related employee queries for the EMEA and APAC regions. Be responsive and knowledgeable, providing accurate, empathetic, and timely guidance.
- Partner with Marketing team to develop and maintain benefits communications, onboarding materials, enrollment guides, intranet content, FAQs, and employee presentations.
- Deliver or coordinate employee information sessions and education on benefits programs, enrollment activities, policy changes, and wellbeing initiatives.
- Escalate complex or sensitive cases appropriately and maintain ownership until the matter is resolved.
- Translate complex plan provisions, eligibility rules, and local requirements into clear, plain-language information for employees and managers.
- Monitor regulatory developments, statutory requirements, and market practices across relevant EMEA and APAC jurisdictions, partnering with external advisors as needed, to ensure that offerings remain compliant and competitive.
- Maintain documentation and records required for internal and external audits, governance reviews, filings, disclosures, and plan administration.
- Analyze participation, utilization, cost, employee feedback, and provider performance to identify opportunities to improve employee experience, risk management, and cost effectiveness.
- Support the preparation and submission of benefits reporting for tax or other relevant country bodies/authorities.
- Prepare recurring and ad hoc benefits management information reporting for HR and leadership, ensuring information is accurate, relevant, and presented clearly.
- Identify opportunities to simplify processes, improve controls, strengthen data quality, and enhance the use of HRIS and benefits technology.
