About the Role
The Operations Coordinator, Roofing & Waterproofing is responsible for maintaining the division's information flow and reporting accuracy. This role supports the VP by collecting updates from the field, verifying data, and generating reports and dashboards for leadership. While not a field coordination role, it involves occasional site visits and ensures that project managers and supervisors have current information.
Responsibilities
- Build and deliver the weekly division report for the VP, covering project progress, productivity, labour cost, quality, and safety, ensuring data accuracy.
- Collect daily production data, timesheets, and site updates from site supervisors and foremen, following up on gaps to maintain data consistency.
- Collaborate with Finance to integrate job cost, billing, and backlog information into Excel and Power BI dashboards for PMs and leadership.
- Maintain the VP's action register and weekly priorities, tracking owners, deadlines, and decisions, and following up on overdue items.
- Keep the master project and crew schedule current with input from PMs and field operations managers, flagging conflicts or missing information.
- Coordinate pre-handover and handover meetings, ensuring package completeness, collecting missing items, and circulating actions.
- Track QC checklists, inspection records, deficiency logs, and safety documentation with the Safety team, and follow open items to closure.
- Maintain the training and certification matrix and crew rosters with HR and Safety, flagging expiring certifications.
- Log customer and service requests, route them to the responsible PM or field operations manager, and track them to closure.
- Support Purchasing and Logistics by raising approved requisitions, tracking material deliveries, and maintaining organized project folders, templates, and trackers.
Requirements
- 3 to 5 years in an operations, project, or administrative coordination role within a construction or specialty trade contractor environment (roofing, waterproofing, or building envelope experience is a strong asset).

- Experience with construction project management or ERP software (Procore, Sage, or similar).
- Ability to quickly learn new systems.
- Working knowledge of construction documentation such as schedules, daily reports, deficiency logs, change orders, RFIs, and closeout packages.
- Familiarity with Ontario health and safety records (OHSA, Working at Heights, toolbox talks).
- You follow up until issues are resolved.
- You investigate and fix the root cause of data discrepancies.
- You take ownership of mistakes and communicate corrective actions.
- You make independent decisions on routine matters and escalate when necessary.
