  • Track and report on queue volume, mix, resolution time, and recurring pain points.
  • Triage and resolve issues in Greenhouse and adjacent tools, diagnosing root causes.
  • Handle routine system configurations such as job templates, interview plans, and scorecards.
  • Escalate complex issues like integrations, data model changes, and vendor issues to the Technology & Innovation pillar.

  • Rethink and implement knowledge management infrastructure for an easy-to-navigate, dynamic experience.
  • Build and maintain a rich knowledge base of SOPs, process maps, runbooks, and FAQs.
  • Document actual processes, including exceptions and workarounds.
  • Maintain trackers, timelines, action logs, and RAID items for active programs.
  • Schedule and prepare working sessions, chasing and closing open items.
  • Own discrete workstreams of larger programs end to end, including testing and support.
  • Produce clear status updates on program progress and blockers.
  • Build communications, training materials, release notes, and office hours for new process adoption.
  • Measure adoption success and create accountability models.
  • Synthesize data and feedback to identify adoption blockers and implement improvements.
  • Run audits and enforce data hygiene standards in Greenhouse and adjacent systems.
  • Build recurring operational reports on queue health, request mix, process compliance, and data quality.

Requirements

  • 4+ years in Recruiting Operations, HR Operations, People Technology, technical support, or project coordination supporting a Talent or HR function.
  • Hands-on experience administering or configuring an ATS (Greenhouse strongly preferred).
  • Experience owning a request queue, ticket backlog, or service desk.
  • Demonstrated documentation ability to produce clear process documentation.
  • Proficiency with project and collaboration tooling (Smartsheet, Jira, Confluence, SharePoint).

  • Strong written communication skills for asynchronous and global communication.
  • Highly organized and self-sufficient with the ability to manage multiple tasks.
  • Comfort with ambiguity and a service mindset.
