About the Role
We are seeking a highly organized, proactive, and detail-oriented Sample Coordinator to manage the flow of product samples within our merchandising department. This role is crucial for ensuring efficient product movement, maintaining an organized sample library, and improving processes to support our growing organization in a fast-paced environment.
Responsibilities
- Manage daily inbound and outbound mail and sample processing, including receiving, unpacking, inspecting, logging, and organizing incoming samples.
- Prioritize, pack, label, log, and dispatch outgoing shipments.
- Maintain an accurate sample inventory and a clearly labeled storage system, ensuring physical samples match tracking records.
- Track sample movement across teams and external partners, updating location, ownership, and status.
- Coordinate sample requests with internal and external partners, confirming requirements and deadlines.
- Follow through on sample handoffs and returns, flagging competing priorities or delays.
- Conduct regular inventory audits, investigate discrepancies, and reconcile records.
- Identify inefficiencies and proactively build and improve organizational systems and workflows.
- Create and maintain clear documentation for sample handling and inventory processes.
- Support merchandising projects and product launches by ensuring required samples are organized and ready by deadlines.
- Communicate daily via Slack and shared trackers, providing updates, responding to product questions, and following up on requests.
- Maintain a clean, safe, and organized workspace.
Requirements
- Meticulous attention to detail, recordkeeping, and follow-through.
- Ability to organize a high volume of physical products and create systems for easy management.
- Strong sense of urgency, ability to prioritize time-sensitive requests, and communicate potential delays early.
- Capacity to meet deadlines while maintaining accuracy and organization.
- Ability to effectively prioritize multiple projects and deadlines simultaneously.
- Adaptability to evolving needs in a fast-paced startup environment.
- Initiative to build and improve processes while maintaining daily operations.
- Comfort using spreadsheets, maintaining shared trackers, and learning new software systems.
- Proficiency with Mac computers and Google Workspace (Docs, Sheets, Drive).
- Clear and proactive verbal and written communication skills with cross-functional partners.
- Ability to frequently lift and move boxes weighing up to 30 pounds.
- Ability to stand, bend, reach, and walk throughout the workday.
- Ability to move products and packages between storage areas and workspaces.
