About the Role
The Port Authority of New York & New Jersey Law Department seeks an experienced and highly organized Senior Legal Secretary for its Manhattan-based team. This role provides comprehensive legal support and handles confidential administrative duties for attorneys, acting as a key resource and exercising sound judgment and discretion.
Responsibilities
- Interface with numerous constituents and stakeholders, including executives, staff, judges, court personnel, law firms, and external agencies.
- Provide administrative support to litigation attorneys by scheduling meetings, arranging IMEs, handling correspondence, maintaining files, and serving as a primary contact.
- Assist with the preparation, scanning, and mailing of legal correspondence, pleadings, motions, discovery requests, notices, memoranda, deposition notices, and trial documents.
- Maintain electronic and physical litigation files within various case management systems, ensuring organization and accessibility.
- Perform operational support including submitting invoices, handling mailings, processing petty cash, coordinating conference rooms, and assisting with reimbursements.
- Coordinate communications with attorneys, opposing counsel, medical providers, experts, witnesses, and internal departments.
- Review and complete new assignments.
- Support continuous improvement efforts to enhance production time.
Requirements
- At least seven (7) years of full-time paid litigation-related secretarial work experience.
- Ability to work collectively and ethically, considering multiple stakeholder viewpoints and client interests.
- Ability to engage colleagues, internal clients, and external contacts in a collegial and business-friendly manner.
- Must meet all performance and attendance standards and have completed all probationary periods.

- Strong working knowledge of Microsoft Office Suite (Access, Excel, One Drive, Outlook, PowerPoint, Share Point, Word).
- Proficiency with Adobe Acrobat.
- Familiarity with document/matter management systems (Westlaw, Best Authority; LawManager & M-Files).
