About the Role

The Manager, Donation Processing is responsible for overseeing all donation processing staff across Canada (excluding Quebec), ensuring the accuracy, timeliness, and consistency of donor data in the CRM system, and managing the processing, acknowledgment, and reconciliation of all donations received, including issuing tax receipts.

Responsibilities

  • Oversee and manage all daily activities, timelines, and deliverables related to data entry, donation processing, and tax receipt issuance.
  • Ensure adherence to data integrity and quality standards to maintain up-to-date and accurate donor records.
  • Prepare reports on data quality, data cleansing, and periodic performance.
  • Assess current staffing needs based on donation volume to meet service level agreements.
  • Facilitate the proper storage and archiving of donation-related information.
  • Provide recommendations on current data entry protocols and donation management processes to ensure consistency and improve efficiency in managing donor data.
  • Support the national Finance team as needed with reconciliation and adjustment efforts.
  • Support the DAS team in implementing system changes and upgrades.
  • Stay current with best practices in data management.
  • Manage, plan, and track requests and projects from various CCS departments related to donation processing and donor service tasks.
  • Work in compliance with the Occupational Health and Safety Act and its regulations.
  • Recruit qualified staff to meet departmental needs.
  • Manage and coach staff performance against departmental goals and individual results.
  • Meet regularly with staff to review project progress against the plan.
  • Lead a team of both in-office and remote contributors across the country and in different time zones.
  • Foster a high-performance culture that leverages the unique talents and strengths of each team member while encouraging their growth and development.

  • Perform any other assigned duties.

Requirements

  • Post-secondary degree with a minimum of three years of fundraising experience in data entry and donation processing, or an equivalent combination of relevant education and experience.
  • Proven experience in a management or supervisory role with both in-office and remote employees.
  • Excellent computer skills, proficient in MS Office Suite (Word/Excel/Outlook).
  • Experience with one or more of the following tools: Salesforce, Luminate, or CRM is an asset.
  • Knowledge of basic general accounting procedures and CRA requirements for issuing tax receipts is an asset.
  • Proven ability to work effectively both independently and as part of a team.
  • Excellent oral and written communication skills.
  • Proven ability to manage a high volume of work and competing priorities.
  • Excellent organizational skills and a high attention to detail.
  • English is required; French or bilingual (French/English) is an asset due to the organization's national scope.
