About the Role

The Administrative Assistant – Food & Beverage will support the Food and Beverage team with overall administrative tasks, including managing communications, visitor relations, and various office duties.

Responsibilities

  • Assist the Food and Beverage team with overall administrative tasks.
  • Answer the telephone professionally and connect callers to the correct parties.
  • Receive visitors in a polite, courteous, and friendly manner.
  • Perform word processing, filing, copying, mail distribution, and posting.
  • Handle advanced word processing and clerical duties.
  • Receive, sort, and route mail, e-mail, and voice messages accurately and efficiently.
  • Attend periodic meetings and training sessions as required.
  • Manage calendars, anticipating conflicts and handling last-minute changes.
  • Oversee new hire setup, process SAR paperwork for technological needs, and ensure proper system access.
  • Assist in departmental projects, acting as a project manager.
  • Perform general admin duties including typing, filing, copying, faxing, mailing.
  • Order, maintain, and restock office supplies and beverages.
  • Maintain filing system, tracking invoices, binders, policies, and other important documents.
  • Process hourly payroll for the team.
  • Update daily rotations for beverage and market.
  • Create and update bi-weekly schedules for teams.
  • Manage calendars and track Vacation and PTO requests.
  • Order everyday items and supplies for all Food & Beverage departments and special projects/banquets.
  • E-file all employee documents.
  • File SAR and Advertising requests and route for signature.
  • Track and file Loyalty responses for RW Prime.
  • Respond to RW Prime Open Table reviews within 48 hours.
  • Make service request calls as needed and escort service teams on property.
  • Perform other duties and projects as assigned.

Requirements

  • Must be 18 years old or older.
  • Must have the ability to obtain the appropriate license pursuant to the applicable statute, rules and regulations.
  • One (1) year of related executive administrative work experience.
  • Must be proficient in Microsoft Office.
  • Must have the ability to type 60 w.p.m. on a PC.
  • Ability to read, analyze, and interpret documents, such as policy and procedure manuals, maintenance instructions, and other related documents.
  • Ability to respond to common inquiries from other employees or guests.
  • Ability to write detailed instructions and correspondence.
  • Ability to effectively present information in one-on-one and group situations.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimal.
  • Ability to work with mathematical concepts such as probability and inference.
  • Ability to create, read and analyze spreadsheets of statistical data.
  • Ability to decipher various reports and maintain reports upon request.
  • Must be able to interact with internal and external guests in a professional manner.
  • Must be able to work varying schedules to reflect the business needs of the property.
