About the Role

The Property Manager reports to the Director, Property Management and is responsible for the overall management and maintenance for an assigned portfolio, including all financial aspects.

Responsibilities

  • Heading up the property management team for the assigned property or portfolio.
  • Ensuring the performance of all outlined duties.
  • Controlling expenses and maximizing value.
  • Managing day-to-day operations, employees, and contractors.
  • Coordinating maintenance of mechanical, electrical, plumbing, and HVAC systems.
  • Providing guidance to Assistant Property Managers, Property Administrators, Building Operators, and support staff.
  • Maintaining orderly records and data.
  • Preparing premises for tenant occupancy.
  • Operating properties within the approved budget.
  • Maintaining good landlord/tenant relations through regular site tours and meetings.
  • Managing purchasing, security, life safety systems, employee relations, utilities, capital improvements, and day-to-day repairs.
  • Approving all purchase orders and related invoices.
  • Establishing and monitoring preventative maintenance programs.
  • Maintaining an ongoing system of property information.
  • Contributing to a general information bank.
  • Preparing and obtaining approval for the annual property budget, monitoring and analyzing performance.
  • Regularly inspecting the property to ensure programs are carried out efficiently and properly.
  • Generating monthly detailed reports on property activity, communicating objectives, problems, and innovations.
  • Assisting leasing agents with new and renewal tenant leasing, including cost estimates and tenant improvements.
  • Reviewing all offers and providing recommendations to owners/asset managers.
  • Reviewing all leases and preparing Lease Summaries.
  • Reviewing tenant improvement plans and coordinating construction.
  • Ensuring landlord obligations are satisfied and tenants perform according to lease agreements.
  • Collecting rents and arrears.
  • Preparing and submitting reports on property management concerns/functions.
  • Implementing programs to maintain buildings to the highest possible standard.
  • Reviewing acquisitions to ensure efficiency and profitability.
  • Familiarizing with and executing obligations of the Management Agreement.
  • Developing short and long-term marketing strategies for properties.
  • Coordinating tenant and customer relations and implementing communications strategy.
  • Projecting properties' image in line with owner and Avison Young posture.
  • Fostering positive tenant, consumer, community, and philanthropic relationships.
  • Initiating market research and staying current on market changes and trends.
  • Planning and executing special projects.

Requirements

  • Bachelor’s Degree, preferably in business, real estate, or finance.
  • Four to seven years related experience.
  • Strong understanding of commercial real estate, financial terms and principles.
  • Ability to analyze and conduct complex financial and business decisions.
  • Proven record of providing excellent internal and external customer service.
  • Ability to effectively resolve situations or complaints from tenants, employees, or management.
  • Proficient in Microsoft Word and Excel.
  • Ability to express ideas clearly in written and verbal communications.
  • Capability to create complex financial and business-related documents.
  • Strong time management and organizational skills; must be detail oriented.
  • Knowledge of federal, state, and local codes and ordinances pertinent to facilities planning, design, construction, and maintenance.
