About the Role

The Intake Office Coordinator supports the firm's client intake process, ensuring a red-carpet experience. This role involves coordinating communication, handling inquiries, and delegating client requests to appropriate departments.

Responsibilities

  • Greet and assist clients upon arrival.
  • Conduct initial assessments and gather necessary information.
  • Verify client documentation.
  • Take client fingerprints following the intake appointment.
  • Submit fingerprints to FBI.
  • Scan/upload fingerprints and authorization forms into the case management system.
  • Scan client documents into case management system.
  • Prepare intake folders.
  • Prepare and mail Welcome Kits to clients.
  • Scan contracts into case management system.
  • Answer and direct incoming calls.
  • Confirm and reschedule client appointments.
  • Ensure client welcoming area is clean and organized.
  • Collect client payments and follow money handling procedures.
  • Ensure customer satisfaction based on established KPIs.
  • Complete inventory of office supplies.

Requirements

  • Must be bilingual in Spanish and English.
  • 1-3 years’ experience in customer service preferred.
  • High school diploma or equivalent experience.
  • Possesses excellent bilingual (English and Spanish) interpersonal and communication skills, both verbal and written.
  • Proficient in Microsoft Office Suite.
  • Ruthless attention to detail.
  • Excellent organizational skills.
  • Ability to work independently and proactively.
  • Ability to multitask and prioritize work.
