About the Role

The Intellectual Property Coordinator provides administrative support to the IP team, reviewing mail, updating data, and coordinating action items for product review meetings.

Responsibilities

  • Review incoming foreign and domestic mail and e-transmissions related to patents, trademarks, copyrights, and other types of intellectual property; update bibliographic data, docket deadlines, and forward relevant documents to assigned legal personnel.
  • Provide comprehensive administrative support to the VP, Legal Affairs Intellectual Property and the Intellectual Property Team, including coordinating meetings, managing calendars, and tracking critical follow-ups.
  • Coordinate action items and meeting notes for product review meetings, collaborating with both internal and external teams to manage these assets.
  • Coordinate patent assets, manage submission dates for analyses and applications, and arrange for the execution of declarations and assignments.
  • Manage and review monthly docket reports and update all in-house electronic databases and docketing systems with trademark and patent deadlines.
  • Assist in the preparation and filing of trademarks, patents, copyrights, and industrial designs, including liaising with IP associates globally and other team members.
  • Manage trademark renewals and new applications in Canada, update renewals docket accordingly for global portfolio, and collect supporting materials and information for filings of renewals.
  • Conduct general trademark knock-out searches, facilitate searches for all Global Business Teams, and maintain the internal tracking sheet.
  • Review and analyze the Trademark Watch portfolio, providing direct feedback and reports to the Senior Director.
  • Manage document legalization, translation, and certification requirements for all global IP and litigation matters.
  • Manage the public Patent Website in coordination with the Web Team, tracking issued patents, design registration numbers, and territories quarterly, while updating the Legal Packaging team on any changes or expired patents.
  • Create and manage sensitive correspondence, memos, presentations, and other legal documentation.
  • Respond to telephone, email, and in-person queries in a timely and professional manner.
  • Conduct research and assemble/analyze data for corporate reports and documents.
  • Maintain complete file and record management (both physical and electronic) including scanning, copying, and archiving documents to ensure all digital and paper records are accurate and up to date.
  • Perform other administrative duties as required, including sending mail/couriers, booking appointments, and supporting daily team workflows.

Requirements

  • College diploma or equivalent legal administrative work experience and intellectual property experience

Skills

  • Advanced skills in Microsoft Office (Word, Excel, PowerPoint)
  • Proficient in Outlook, Adobe, and Teams
  • Knowledge of intellectual property, litigation, and general legal terminology an asset
