About the Role
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative and operational support to our Financial Executives. The Executive Assistant will serve as a trusted partner and key point of contact, helping manage priorities, coordinate activities, and ensure the day-to-day operations of the executive office run smoothly. This role requires strong judgment, discretion, and the ability to anticipate needs in a fast-paced environment. The ideal candidate is an excellent communicator who can effectively manage competing priorities, maintain confidentiality, and build strong relationships with colleagues and stakeholders across the organization.
Responsibilities
- Manage the executive's calendar, scheduling meetings, conferences, and travel arrangements as necessary
- Plan and coordinate meetings, including preparing agendas and distributing materials
- Prepare and process expense reports in Coupa
- Draft and prepare correspondence, reports, and presentations, ensuring accuracy and professionalism, for both internal and external stakeholders
- Maintain accurate and up-to-date databases and tracking systems
Requirements
- Demonstrated enthusiasm for advancing within administrative support roles, particularly those focused on marketing
- Ability to handle highly confidential information
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and competing priorities
- Thrives in dynamic environments requiring high flexibility, rapid pivotability, and a solutions-oriented mindset. Comfortably manages changing priorities and extends working hours when project demands call for it.
- Builds strong working relationships across diverse teams, communicating effectively with cross-functional peers and senior executive leadership alike.
- Fluent across Apple hardware ecosystems (macOS, iOS) and advanced workflows within Google Workspace (Docs, Sheets, Slides, Drive, Gmail)
- Highly proficient with Google Suite applications, MAC, and iPhone

Salary/Compensations
- $66,300—$68,300 USD
