About the Role

The Facilities Lead is responsible for overseeing facilities operations and maintenance to support a safe, efficient, and productive working environment. The role coordinates day-to-day facilities activities, maintenance programs, and facility projects while managing departmental budgets, financial reporting, vendor relationships, and health and safety requirements. The Facilities Lead also provides day-to-day leadership and coaching to facilities staff and ensures priorities are effectively managed within a fast-paced and changing environment.

Responsibilities

  • Supervise and coordinate team workloads and assignments, providing training, coaching, and support to reception and building management staff.
  • Oversee day-to-day facilities operations and maintenance activities to maintain a safe, effective, and productive workplace.
  • Manage and administer preventative and planned maintenance activities for building equipment and facilities.
  • Prepare the departmental budget and capital plans, including monthly forecasting, accruals, month-end processing, and monitoring of financial expenditures.
  • Review financial reports, analyze variances and spending trends, and provide financial insights to support effective cost management.
  • Manage service contracts and vendor relationships, including obtaining quotes, negotiating agreements, and identifying opportunities for cost efficiencies.
  • Coordinate and administer strategic facilities projects and building improvements, ensuring work is completed on schedule with minimal disruption to employees.
  • Ensure facilities operations comply with applicable legislative requirements, health and safety standards, and safe working practices.
  • Assess and resolve day-to-day facilities issues, including urgent situations requiring timely decisions and effective solutions.
  • Communicate building updates and facilities activities to employees and collaborate with cross-functional teams to understand requirements and support the successful delivery of assignments and projects.

Requirements

  • University degree or College diploma with 2-3 years of experience in a customer service-focused department and/or 1-2 years of supervisory experience.
  • CPR and First Aid Certification.
  • Demonstrated creative thinking and problem-solving skills, with the ability to assess issues and develop practical solutions.
  • Ability to work effectively in a fast-paced environment with strong organizational and time-management skills.
  • Strong contract management and negotiation skills, particularly in working with service providers and vendors.
  • Strong project management skills with the ability to coordinate building and facilities projects while minimizing disruption to employees.
  • Ability to effectively manage competing priorities, tight deadlines, and facilities issues requiring timely resolution.
  • Strong ability to establish priorities, resolve issues, and ensure deadlines are met in a fast-paced environment.
  • Familiarity with accounting practices and principles, including budgeting, forecasting, accruals, and expenditure monitoring.
  • Regular in-office availability from Monday to Friday.
