About the Role

The Security and Information Directorate (SID) is responsible for identifying, managing, and mitigating security, data protection, and information risks within the Ministry of Justice (MoJ). This role is part of the Records Management Service (RMS) within SID, focusing on managing the department's records in compliance with legislative frameworks and guidelines. The position involves reviewing both paper and digital records to determine their historical importance and suitability for permanent preservation, adapting processes for digital ways of working, and potentially handling distressing information.

Responsibilities

  • Carry out the selection process of MoJ paper and digital records for permanent preservation and transfer to The National Archives (TNA) in compliance with TNA guidelines and Operational Selection Policies.
  • Provide detailed reasoning for the decision reached on the required disposal action.
  • Carry out sensitivity reviews on selected records to ensure sensitive data is closed in accordance with Freedom of Information and Data Protection legislation.
  • Process and prepare paper and digital records selected for permanent preservation in compliance with TNA regulations and guidance.
  • Update and maintain all necessary spreadsheets and record logs in connection with the review work.
  • Undertake various administrative tasks to support the effective organization of the work carried out.
  • Promote records management practices and procedures.
  • Investigate, process, and answer oral and written enquiries in accordance with agreed office standards and timescales.
  • Assist with any ad hoc duties as required, including liaising with TNA on Freedom of Information requests for MoJ’s closed records.
  • Review ways of working as needed, suggest changes, and implement improvements, engaging with and helping team members and others to do the same.
  • Perform a degree of manual handling as a proportion of the work involves physical paper records.
  • View potentially distressing information, documentation, or photographs in a professional manner.

Requirements

  • All candidates are subject to security and identity checks prior to taking up post.
  • All external candidates are subject to a minimum of 6 months’ probation.
  • Internal candidates are subject to probation if they have not already served a probationary period within MoJ.

  • Knowledge or understanding of good records management and relevant legislation (Public Records Act 1958, Freedom of Information Act 2000, Data Protection legislation, such as GDPR and the 2018 Data Protection Act).
  • Experience in supporting their team through change to deliver a quality service.

About the Company

  • The Security and Information Directorate (SID) is part of the Service Transformation Group, overseeing the modernization and digitization of legacy systems within the Ministry of Justice (MoJ).
  • SID comprises highly skilled experts collaborating with departmental stakeholders, Government Security Group, Government Knowledge and Information Management profession, and other partners to ensure secure, lawful, and transparent operations.
  • The Directorate identifies, manages, and mitigates MoJ’s security, data protection, and information risks, and provides assurance against these risks.
  • SID is also home to the Counter Fraud Centre of Expertise and aims to up-skill the department in security practices.
  • Information Services Division is responsible for ensuring the MoJ manages its information effectively, complies with legislation, clarifies information ownership, and maintains secure information holdings.
  • The Records Management Service (RMS) within SID manages the department's records in compliance with the Secretary of State’s Code of Practice on the management of records.
  • RMS operates within a legislative framework including the Public Records Act 1958 and 1967, UK General Data Protection Regulations (GDPR), Data Protection Act 2018 (DPA), and Freedom of Information Act 2000 (FOIA).
