About the Role

This is an administrative job in an establishment, providing support to the Business Hub by maintaining finance, performance, and administrative systems within specified timescales. It is a rotational, non-operational role with no line management responsibilities.

Responsibilities

  • Undertake transactional activity associated with the Business Hub, including processing various categories of paperwork and inputting data.
  • Organize, produce, and maintain accurate records for the area of work.
  • Act as a contact point for all communications to the team, prioritizing and distributing them appropriately.
  • Complete monitoring returns for the area of work.
  • Input requisitions onto the finance database and process them for the defined area of work.
  • Coordinate awareness sessions for the area of work.
  • Prepare paperwork for manager checking, conducting initial checks as required.
  • Correspond with relevant stakeholders and agencies to ensure adequate information sharing.
  • Maintain and check establishment databases, manual filing systems, and logs of information, responding within agreed timescales and producing reports.
  • Collate information relating to relevant Service Delivery Indicators (SDIs).
  • Act as secretary to meetings as required, including organizing agendas, taking minutes, and distributing action points.
  • Accept reasonable alterations and additional tasks of a similar level that may be necessary.

Requirements

  • Ability to fulfill all spoken aspects of the role with confidence through the medium of English or Welsh.
  • All candidates are subject to security and identity checks prior to taking up post.
  • All external candidates are subject to a 6-month probation period.
  • All staff are required to declare whether they are a member of a group or organization which the HMPPS considers to be racist.
