About the Role
Maintain a presence at the front desk, providing a welcoming reception to residents and visitors while upholding high standards of the residential development.
Responsibilities
- Collaborate with the Client Services Manager/Property Manager and staff to maintain high property standards.
- Establish professional relationships with staff, residents, and contractors, serving as the primary point of contact.
- Ensure the concierge area is clean, tidy, and meets expectations.
- Maintain a constant physical presence at the reception/concierge desk.
- Greet residents and visitors, maintaining a polite and personable demeanor.
- Conduct site walk rounds and report any faults, maintenance, or repair needs.
- Complete physical or electronic reports for site inspections and handover.
- Write detailed handover notes for seamless shift transitions.
- Respond to all issues the same day, alerting the property manager to resident concerns immediately.
- Keep outlook calendars updated with meetings and appointments.
- Comply with all concierge processes, procedures, and standards.
- Maintain a high standard of personal appearance and display a courteous, professional, and helpful nature.
- Answer telephone and intercom systems professionally and follow site protocol for access.
- Maintain and update the reception/concierge operations manual.
- Report breaches of lease obligations to the Client Services Manager/Property Manager.
- Monitor and notify of sub-letting of units.
- Maintain an up-to-date list of emergency services and contractor contact numbers.
- Familiarize with site specifics, including utility shut-off points and gate overrides.
- Maintain a key log for residents and release keys only to authorized individuals.
- Ensure all visitors and suppliers sign in and out of the building.
- Receive deliveries and post on behalf of leaseholders and distribute accordingly.
- Handle deliveries and returns via development systems and protocol.
- Manage residents' keys, ensuring they are signed in and out daily.
- Manage on-site booking requirements for key access areas.
- Notify the Client Services Manager/Property Manager of works within individual flats requiring a license for alteration.
- Be aware of contractors on site and ensure relevant permits are issued.
- Report maintenance or breakdowns immediately and provide updates.
- Deal with on-site queries efficiently and professionally, directing them to third parties when appropriate.
- Check completed contractor work and report back.
- Monitor vehicles entering and leaving the estate, ensuring residents park in allocated bays.
- Programme new fobs and delete lost ones.
- Inform residents of estate and local activities.
- Maintain accurate reports of incidents.
- Monitor access points and use CCTV if available; screen visitors and report suspicious behavior.
- Attend Savills staff meetings and events as required.
- Oversee regular maintenance contracts and report back.
- Investigate faults and issues within the development and document reports.
- Comply with health and safety and fire precaution obligations.
- Assist other staff, occupiers, and visitors in emergencies.
- Acquire working knowledge of technical equipment and how to obtain assistance.
- Assist the property manager in raising works orders.
- Assist other concierge team members and provide training.
- Acquire working knowledge of property systems and procedures to take control during shifts.
- Complete all required log reports.
- Participate in company training schemes and ensure continuous professional development.
- Carry out duties in accordance with instructions from management.
- Undertake tasks and responsibilities that are unpredictable and varied.
- Carry out any other reasonable duties as management may consider necessary.
Requirements
- Previous concierge experience in a residential setting.
- Confident, articulate communicator, able to build relationships with a resolution-focused mentality.
- Able to work autonomously and as part of a team.
- Professional, precise, courteous, and dedicated.
- A team player with a Can-Do attitude.
- Passion for delivering outstanding service; attentive and proactive.
- Ability to work under pressure, meet deadlines, prioritize, and manage time effectively.

- Proficient with all Microsoft applications and Outlook.
- Familiar with the lease relating to the development and able to locate key information.
- Good knowledge of Health & Safety and Fire Safety regulations.
- Familiar with all aspects of the site including location of stop cocks, shut off points for gas and electricity and manual override for gates.
