About the Role

The Events Coordinator plays a key role in the successful planning and execution of Globe Events' portfolio of conferences, summits, awards programs, executive roundtables, and custom client events. The role supports all stages of event delivery, including planning, logistics, speaker and attendee coordination, onsite execution, and post-event reporting. This is a new vacancy, and a hybrid role based in Toronto.

Responsibilities

  • Coordinate and support the planning and execution of in-person, virtual, and hybrid events, including maintaining project plans, timelines, production schedules, and key deliverables.
  • Manage event logistics, including venues, catering, audiovisual requirements, signage, transportation, accommodations, and supplier coordination.
  • Support speaker and program management, including speaker communications, briefing materials, scheduling, agenda coordination, and speaker briefing calls.
  • Manage attendee registration processes and event platforms, monitor registration and attendance, respond to attendee inquiries, and support VIP guests and special accommodations.
  • Support sponsorship and client commitments by tracking deliverables, coordinating branding assets and materials, and assisting with sponsor activations and onsite requirements.
  • Provide operational support across events, including vendor coordination, event documentation, budget tracking, invoice reconciliation, and compliance with applicable health and safety requirements.
  • Serve as a key member of onsite event teams by supporting registration, managing attendee flow, coordinating event-day activities, and troubleshooting operational issues in real time.
  • Collaborate with Event Specialists, Sales, Marketing, Finance and other internal stakeholders to coordinate activities and ensure successful delivery of events.
  • Compile post-event reports, surveys, and analytics, and maintain accurate event records and databases, including attendance, engagement, and sponsor performance metrics.
  • Identify opportunities to improve event processes, attendee experiences, and operational efficiencies by leveraging event feedback, survey results, registration data, and industry best practices.

Requirements

  • Bachelor's degree or equivalent experience in Event Management, Hospitality, Marketing, Communications, or a related field.
  • 1-3 years of experience in event planning, conference production, hospitality, project coordination, or a related environment.
  • Strong event planning, project coordination, and organizational skills, with the ability to manage multiple projects and competing priorities simultaneously.
  • Exceptional attention to detail with strong time-management and prioritization skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong customer service and stakeholder management skills, with the ability to work effectively with internal teams, vendors, sponsors, speakers, clients, and attendees.
  • Experience coordinating with vendors and suppliers and supporting event logistics and operational requirements.
  • Strong problem-solving skills and adaptability, including the ability to respond to changing priorities and troubleshoot issues in a fast-paced event environment.
  • Experience with budget tracking, invoice reconciliation, and general event administration.
  • Proficiency with Microsoft 365 Office.
  • Ability to work flexible hours, including occasional evenings, early mornings, and event-day schedules, and travel to event venues as required.
