About the Role

The Administrative Coordinator will manage administrative and academic activities for physicians within the Tisch Cancer Center, Division of Hematology/Medical Oncology, supporting daily operations and grant application processes.

Responsibilities

  • Provide administrative support to physicians regarding daily operations.
  • Manage physician calendars, coordinate meetings, book space, and confirm attendees.
  • Screen telephone calls and direct inquiries appropriately.
  • Arrange travel and accommodations, and submit related expenses and reimbursements.
  • Review submitted materials for completeness and accuracy.
  • Assist with grant applications and special projects.
  • Research, compile, and prepare reports, including statistical reports.
  • Prepare and monitor budgets and grant allocations, maintaining accruals.
  • Prepare documents for account balancing and ensure regulatory compliance.
  • Assist with manuscript and presentation preparation, including literature searches.
  • Update physician biographical sketches with new grants, journals, and articles.
  • Manage office supply inventory, reordering, and vendor contract renewals.
  • Plan and coordinate logistics for events, conferences, and seminars.
  • Assist with tracking Paid Time Off requests and generating reports for staff.
  • Investigate and resolve administrative or operational issues.
  • Serve as a liaison with other departments or external parties.
  • Screen and prioritize incoming mail, responding or distributing as needed.
  • Perform other related duties as assigned.

Requirements

  • Bachelors Degree or a combination of applicable experience and education.
  • 7+ years of related administrative or business experience.
  • Some supervisory experience strongly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with Doodle Poll, WebEx, and GoTo Meeting.
  • Knowledge of PubMed and InfoEd.
  • Knowledge of grants.
  • Experience with both PC and Mac software.
