About the Role
This role supports UGL's continued growth across major infrastructure sectors including data centres, transport and defence. You will play a key role in positioning UGL for some of Australia's largest and most complex infrastructure opportunities.
Responsibilities
- Coordinate the preparation of bid submissions, ensuring compliance with tender requirements and deadlines.
- Establish and maintain a centralized bid documentation repository, ensuring proper version control and accessibility.
- Provide administrative assistance to the project delivery team, ensuring all documentation and processes adhere to contractual obligations.
- Support project schedules by tracking milestones, tasks, and deliverables to meet key deadlines.
- Facilitate communication between internal teams, external partners, and key public/private sector stakeholders.
- Compile reports and dashboards to track performance metrics, contract compliance, and progress updates.
- Maintain an organized system for bid and project documents, ensuring security, confidentiality, and compliance with organizational policies.
- Manage the exchange of project data between parties by leveraging project management platforms or data rooms.
- Oversee the submission, review, and approval workflows for project documentation—including budgets, schedules, and technical reports.
- Support procurement processes during the bid phase by organizing supplier/subcontractor bid packages and tracking responses.
- Assist project teams in monitoring budgets, invoices, and resource allocation during the delivery phase.
Requirements
- 5+ years’ experience in a Bid Coordinator or related role within an engineering or construction management environment.
- Strong SAP, Excel and computer skills
- Demonstrated ability to work independently to organise and prioritise demands, handle multiple complex tasks simultaneously, set and meet deadlines and follow-through within a fast paced environment with multiple and competing demands
