About the Role

Academy of Art University’s globally acclaimed School of Fashion is seeking to hire an Administrative Assistant to join their dynamic team. This is a full-time, on-site position in San Francisco and perfect for anyone that has an interest in fashion, the arts and working in higher education.

Responsibilities

  • Provide exceptional customer service for faculty, students, staff, and guests by answering questions and directing traffic.
  • Answer calls, handle mail, redirecting to appropriate person, and maintain department files.
  • Set up calendars and schedule appointments for Directors and Full-Time Faculty.
  • Assist with special events as needed.
  • Oversee schedule of College work-study students and delegate duties.
  • Order and stock office supplies for two buildings.
  • Ensure office is always organized.
  • Coordinate with other departments such as Academic Support Department & Curriculum.
  • Process maintenance and signage requests for two buildings, maintain master requisition log and master contact list for faculty and staff.
  • Assist Directors and full-time faculty, including new hires, with various curriculum forms.
  • Approve student flyers for posting.
  • Serve as liaison between faculty and administration.
  • Using LMS track grade and attendance along with watching midpoint and final review for scheduling meetings throughout the semester.
  • Work with faculty to arrange travel and expense reporting.
  • Keep faculty updated on department announcements, meetings, grades, guest speakers and student actors.
  • Complete special projects and other tasks as assigned.
  • Liaise with Student Reps and Instructors answering questions and assisting in collecting and returning projects.
  • Assist faculty requests for student auditions, shoots, and rehearsals.
  • Oversee all equipment for two building scheduling maintenance and servicing of equipment, and tracking inventory.

Requirements

  • At least one year of experience in an office setting.
  • Passionate about student success and higher education.
  • Able to thrive in a dynamic and deadline-driven environment.
  • The ability to work independently.

Skills

  • Proficiency with Adobe Suite, MS Office, and MacBook preferred.
  • Ability to learn new computer programs quickly.
  • Excellent written and telephone communication skills.
  • Excellent time management and organizational skills.
