About the Role
The Supervisor, Contract Management oversees the day-to-day execution of post-award contract activities, including setup, amendments, renewals, extensions, and closeout. This role supervises a team of Contract Administrators, ensures compliant use of the Contract Lifecycle Management (CLM) system, and serves as the escalation point for complex post-award contract issues. The position supports reporting, compliance, and continuous improvement of contract administration processes.
Responsibilities
- Supervise the setup, amendment, renewal, extension, and closeout of contract records, ensuring adherence to policy and procedural standards.
- Monitor the contract expiry review process by ensuring Contract Administrators act on expiry and renewal reports.
- Identify and address escalated issues such as missing or conflicting contract terms, incomplete documentation, and termination requirements.
- Supervise and validate the accuracy and completeness of CLM contract records, including key milestones, vendor deliverables, and metadata.
- Assign and monitor the daily workload of Contract Administrators to ensure adherence to timelines and quality standards.
- Review complex or high-risk contract files for accuracy and completeness prior to record activation.
- Provide day-to-day guidance to team members on standard processes and escalate non-standard scenarios.
- Act as a coordination point for Legal, Finance, SPU, and Divisions regarding post-award contract administration challenges.
- Collaborate with Vendor Relationship Management to validate vendor compliance inputs.
- Support alignment between CLM processes, legal templates, and standard contract terms.
- Participate in cross-functional discussions to improve integration between sourcing, contract administration, tools, workflows, and reporting.
- Monitor recurring contract issues and trends to identify process gaps and improvement opportunities.
- Validate the quality and completeness of CLM contract records and supporting documentation.
- Support testing, implementation, and rollout of CLM enhancements or upgrades.
- Recommend improvements to contract workflows, approval checkpoints, and controls.
Requirements
- Post-secondary education in business, supply chain, public administration, legal studies, or a related field, or an equivalent combination of education and experience.
- 5–7 years of progressive experience in contract management, procurement, or a related field.
- Experience overseeing post-award contract administration activities, including contract setup, amendments, renewals, extensions, and closeout.
- Experience supervising staff and coordinating workflows with defined quality and documentation standards.
- Experience working with a Contract Lifecycle Management (CLM) system, including maintaining contract metadata, milestones, and deliverable tracking.
- Experience coordinating escalations with Legal, Finance, SPU, Vendor Relationship Management, Centre of Excellence, and Divisional stakeholders.
- 7 –10 years of experience, including demonstrated experience overseeing contract administration and/or providing guidance to staff (preferred).
- Experience supporting continuous improvement initiatives related to contract administration processes, workflows, and reporting (preferred).
- Experience supporting CLM system enhancements, testing, or process updates in collaboration with technology or reporting teams (preferred).

Salary/Compensations
- $107,358 - $118,094
