About the Role

This is a hands-on role for an experienced PA to provide confidential, proactive, and detail-focused administrative support to senior leaders within the publishing business. The role is pivotal in supporting strategic meetings, coordinating communications, and serving as a trusted liaison. It contributes to the effectiveness of leadership and publishing teams by streamlining administrative processes, handling sensitive issues with tact, and ensuring priorities are actioned confidentially and timely. The role also supports business operations through document preparation, event coordination, travel management, and data tracking, while collaborating with the Content Team Co-Ordinator and Facilities team for office support.

Responsibilities

  • Provide PA support to 5 Publishers, including diary management, arranging meetings, booking rooms and venues, organizing travel, assisting with meeting materials, submitting expenses, and processing payments/invoices.
  • Handle sensitive and confidential information with discretion.
  • Answer queries promptly and professionally, filtering them to the relevant individual or department.
  • Perform general office duties such as ordering refreshments, greeting guests, and liaising with the facilities team.
  • Assist with ad-hoc requests, including organizing events, away days, workshops, and booking guest/client taxis.
  • Support on projects.
  • Assist with recruitment alongside HR and onboard new starters by communicating with candidates, arranging IT equipment, and completing forms.
  • Work with Publishers to maintain up-to-date departmental organization charts.
  • Provide ad-hoc cover for other PAs when required.
  • Offer administrative support to teams across the Publishing department.
  • Attend meetings, draft minutes, and circulate action points.

Requirements

  • Experience coordinating UK & International travel logistics.
  • Competent at troubleshooting IT issues where needed.
  • Willingness to learn and go the extra mile.
  • Proficient in Microsoft Office applications.
