About the Role

Provide administrative and practice support to the Litigation Team, building strong working relationships and adding value through efficient, timely, and organized support.

Responsibilities

  • Work in partnership with a team of litigation lawyers, senior law clerks, law clerks and legal assistants to maintain an effective in-house practice
  • Prepare, draft and proofread correspondence, pleadings, court documents, and other documents
  • Assist in compiling, serving and filing pleadings and other legal documents
  • Maintain a diary system, manage calendars, schedule and coordinate meetings
  • Schedule Court dates, mediations, independent medical examinations, surveillance, and other investigations
  • Review and triage incoming legal documentation and ensure relevant documents are properly stored in the Document Management System (M-Files), and are named and classified in accordance with Litigation practice guidelines
  • Open, organize, and maintain new files by entering all relevant data in Law Department’s matter management system (eCounsel)
  • Other administrative duties as required, e.g. reporting, processing invoices

Requirements

  • Legal Assistant Diploma or a combination of education and experience
  • Minimum 2 years’ experience in a legal administrative role
  • Superior communication skills, both written and verbal to varying audiences, including proofreading with keen attention to detail
  • Knowledge of legal and court documents and procedures across Canada, preferred
  • Team player with well-developed organizational and time management skills
  • Motivated self-starter with ability to work independently and productively as part of a team while managing competing priorities to deliver business results
  • Strong technical skills in MS Word, Excel, Outlook, Adobe Pro, matter management and document management software (M-Files, Relativity)
  • Excellent interpersonal and client services skills; professional and positive demeanour
  • Experience working with highly sensitive and confidential information as part of daily duties
  • Reliability Status Security Clearance required as a condition of employment
