About the Role
The Clean Heat Administration Coordinator will provide day-to-day organisation, data management, and reporting assistance to maintain an accurate and well-controlled portfolio of heat network projects. This role supports Triple Point in its administration and management of the Green Heat Network Fund on behalf of the Department for Energy Security and Net Zero (DESNZ). The position is administration-led and focuses on record keeping, documentation, actions, and maintaining accurate input portfolio information.
Responsibilities
- Maintain complete and up-to-date project records in the programme's trackers and document-management systems.
- Reconcile information across systems and trackers, investigate gaps or conflicting entries, and refer unresolved issues to the relevant portfolio or programme lead.
- Collate, format, and quality-check project data for internal management information and regular reporting to DESNZ, and respond to ad hoc DESNZ queries.
- Assist with the preparation and maintenance of pipeline trackers, forecasts, and forward-looking cashflow information, ensuring assumptions, sources, and changes are clearly recorded.
- Prepare drafts of routine reports, dashboards, and summaries, highlighting missing data, anomalies, delivery challenges, and material changes.
- Provide administrative support for internal reviews and assessment activity, including preparing documentation packs.
- Provide administrative cover across the portfolio and programme team and undertake other reasonable coordination duties.
- Support external delivery partners in the management of project reporting requirements and deadlines, including following up on missing, late, or incomplete monitoring and reporting submissions.
- Follow scheme controls and escalation routes, including promptly raising potential fraud, misuse of scheme rules, conflicts of interest, or other compliance concerns.
- Work accurately, transparently, and impartially, maintaining a reliable audit trail and applying agreed processes consistently.
- Contribute ideas that reduce avoidable administration, strengthen data quality for reporting to DESNZ, and make portfolio reporting more efficient and reliable.
- Handle commercially sensitive and personal information carefully, following data-protection, confidentiality, records-management, and information-security requirements.
Requirements
- Strong administrative and organisational skills, with the ability to manage competing deadlines, follow through on actions, and keep several workstreams moving.
- A careful and methodical approach to data entry, document control, records, and written communications, with confidence checking the quality and completeness of information.
- Clear, professional written and verbal communication, including the ability to explain processes, draft concise correspondence, and produce reliable meeting notes.
- Ability to gather information from several sources, follow up missing inputs, and present data clearly in routine reports, tables, and summaries.
- Confidence using Microsoft 365, particularly Excel and SharePoint, and the ability to learn document-management systems quickly.
- Ability to distinguish routine matters from those requiring escalation and to handle sensitive or confidential information appropriately.
- A collaborative and adaptable working style, with a willingness to provide cover, improve processes, and take ownership of routine tasks.
