About the Role

To support Occupier and Demised Services in delivering high-quality management services for Savills clients and tenants.

Responsibilities

  • Take ownership from an FM perspective of an allocated number of branches.
  • Ensure CAFM and Health & Safety systems (e.g., Datastation, Elogbooks) are up to date.
  • Ensure quoted/reactive works are handled promptly and accurately within the Elogbooks system.
  • Adhere to client-defined parameters for expenditure and instructing works.
  • Ensure compliance with all legal and statutory requirements, including Health and Safety, where Savills is responsible.
  • Achieve and maintain agreed compliance ratings for all allocated sites.
  • Update actions on Datastation monthly until completion.
  • Complete and upload checklists to Datastation within specified timescales.
  • Record and report utility consumption at all sites quarterly.
  • Maintain high site standards for cleaning, repair, and presentation within budget.
  • Ensure all expenditure is client-payable and works are not instructed outside of Savills' responsibility.
  • Liaise between clients and third-party management companies/landlords as needed.
  • Visit branches as per the management contract, reporting and resolving issues.
  • Develop strong relationships with site representatives to manage client satisfaction.
  • Be available for emergency situations and attend properties as required.
  • Adhere to site dress codes and Personal Protective Equipment requirements.
  • Evaluate contractor performance against specifications and address shortcomings.
  • Inform the FM Operations Manager of any changes in store operations or closures.
  • Process Purchase Orders (P2Ps) and allocated tasks in a timely manner.
  • Prepare and implement contingency plans for site coverage during absences.
  • Provide detailed handover notes for annual leave.
  • Coordinate information according to Savills and client requirements.
  • Keep line manager informed of site issues impacting trading ability.
  • Manage and liaise with internal staff on strategic and operational issues.
  • Establish and implement best practices and ensure safe working practices.
  • Maintain clear communication lines with all relevant parties.
  • Complete all compulsory training and identify development needs.
  • Manage the onboarding of new sites and handover of sold/lost sites.

Requirements

  • Minimum IOSH trained, working towards NEBOSH.
  • Experience and knowledge of achieving high standards in property management.
  • Knowledge and understanding in preparation of service charge budgets, ensuring agreed times and costs are adhered to.
  • NEBOSH or IOSH Managing Safely qualifications.
  • Strong overall experience in a similar environment.
  • Self-motivated individual with excellent interpersonal skills.
  • Excellent organisational and time management skills with a degree of flexibility.
  • Ability to handle a large number of projects with a broad range of customers, suppliers, and property owners.
