About the Role
The Transport Control Administrator will mitigate company risk by executing route assignments through daily dispatching and debriefing of drivers and vehicles. This role coordinates the dispatch process per route and physically debriefs each route to support increased customer service and improve business efficiencies.
Responsibilities
- Administer and monitor uploaded system route allocations daily.
- Ensure vehicles are dispatched according to the agreed business process.
- Issue relevant documentation and equipment (keys, fuel cards, thermometers, navigational tools) to drivers.
- Check company resources and staff against company standards using the Daily Vehicle Checklist.
- Verify the Tracking tripsheet matches the physical situation before vehicle departure.
- Monitor real-time fuel consumption, speeding, braking, and other driving/vehicle performance exceptions.
- Note route exceptions in the tracking system prior to vehicle return.
- Liaise with Tracking on-Road Execution Agents.
- Retrieve printed debrief documents and correct the daily vehicle checklist before driver return.
- Debrief drivers upon their return.
- Discuss, resolve, and record any exceptions.
- Inspect vehicles for damage or issues as per the Daily Vehicle Checklist.
- Obtain driver signatures on the Trip sheet, debrief document, and Daily vehicle checklist.
- Collect vehicle keys, fuel cards, thermometers, and navigational tools.
- Take ownership and accountability for tasks, demonstrating effective self-management.
- Maintain consistent and accurate quality and productivity standards.
- Inform relevant parties of potential risks and provide resolutions for unmet tasks or deadlines.
- Manage colleagues' and employees' expectations through appropriate communication.
- Willingly assist others and go the extra mile to meet team targets.
Requirements
- Matric qualification.
- Valid Code EB driver's licence.
- Minimum of 2-3 years' experience in an administration/transport environment, preferably within FMCG.
- SAP experience is advantageous.
