About the Role

The Sales Coordinator will support the Director of Sales and sales leadership by collaborating with departments, managing product samples, coordinating orders, and ensuring timely customer delivery. This role ensures smooth operations from style selection to order fulfillment.

Responsibilities

  • Provide administrative, organizational, and communication support to the Sales Director for three major Canadian fashion retailer accounts.
  • Liaise with retailer partners and support the Sales Director on sales-driving programs by creating and maintaining sales order tools, customer product databases, record keeping, and generating sales reports.
  • Manage external customer product management portals regularly to ensure real-time accuracy of product lines, customer expectations, and information.
  • Build and maintain customer relationships, respond to inquiries, and resolve issues.
  • Utilize internal and external systems to submit and procure product samples, complete and coordinate new orders in the New Order portal, and ensure accurate and timely processing of sales orders.
  • Process all sales order and creative revisions to ensure accurate information and communication across cross-functional departments.
  • Work cross-departmentally with the creative operations team to ensure accurate style logging and data integrity within the order preparation process, owning the order management process.
  • Partner with licensing teams to obtain style approval before order submission to expedite processing and accuracy for production execution.
  • Coordinate and communicate cross-departmentally with production teams on the sample management process for retailer marketing and buyer timelines, ensuring the retailer calendar and deadlines are met.
  • Collaborate with Product Development and Production departments to ensure physical samples accurately reflect customer expectations and final production as per orders.
  • Communicate, track, and keep records of the sampling process with retailer customer partners.
  • Assist with sample management (buyer and marketing samples), meeting arrangements, and management of reports and sales tools to ensure up-to-date information and accuracy.
  • Ensure timely completion of orders from receipt to delivery.
  • Regularly review and implement updates to vendor manuals cross-departmentally.

Requirements

  • Proven experience in sales support or a related role.
  • Ability to thrive in a fast-paced environment, operate under pressure, and meet tight deadlines.
  • Self-motivated, confident, energetic, and highly organized.
  • Proficient in Outlook, Excel, and Word.
  • Excellent verbal and written communication skills.
  • Understanding and comprehension of garment construction and fashion industry.
