About the Role

Broadway National is seeking a Vendor Management Specialist to build, manage, and strengthen its national network of trade vendors. This role involves vendor sourcing, onboarding, relationship management, performance tracking, and pricing support, with collaboration on Quarterly Business Reviews and RFP efforts.

Responsibilities

  • Grow and maintain a qualified network of service providers across assigned markets and trades.
  • Build mutually beneficial partnerships, serving as the primary contact for providers regarding service, pricing, and compliance.
  • Negotiate and maintain labor-rate agreements within set guidelines to protect margin.
  • Ensure providers understand and meet contract requirements, including response times, documentation, invoice, and compliance.
  • Review KPIs monthly (response time, completion rate, first-time fix, quality, invoice accuracy) and maintain provider scorecards.
  • Lead improvement plans for underperforming providers and recommend exit strategies when performance does not improve.
  • Lead QBRs for the assigned network and prepare data for leadership-led QBRs with top-tier providers.
  • Act as the liaison between providers and Operations to resolve service and scheduling issues, and work with Accounting on billing issues.
  • Reduce total cost while improving quality by shifting volume to top performers and flagging non-compliant rates.
  • Support RFPs by gathering bids, building pricing comparisons, and assisting in proposal evaluations.
  • Source and onboard new providers to address coverage or performance gaps.
  • Maintain current compliance documents (COI, W-9, agreements) and Umbrava profiles.
  • Assist in setting and upholding vendor management policies and undertake other assigned projects.

Requirements

  • 3–5 years in vendor management, contract negotiation, or subcontractor management, ideally in facilities maintenance or multi-site service.
  • A track record of negotiating labor rates or subcontractor pricing.
  • Comfortable with KPIs and scorecards.
  • Strong Excel skills.
  • Strong financial and analytical skills.
  • Clear, confident communication with vendors and all internal levels.
  • Organized, detail-oriented, and process-driven.
  • Occasional travel for provider visits and QBRs.
