About the Role

Pediatric After Hours is a dynamic department providing pediatric care year-round. This part-time role supports pediatricians clinically as a Medical Assistant and performs front desk duties, including answering phones, scheduling, patient check-in, and co-pay collection. It offers an alternative work schedule with evenings, weekends, and holidays required.

Responsibilities

  • Answer phones professionally and warmly to assist callers with healthcare objectives.
  • Receive patients at the care center, providing information on services, insurance, and payment policies.
  • Process new patient paperwork, collect co-pays, and follow up on payment/insurance information.
  • Attend to physicians and practitioners' needs to support patient care and practice development.
  • Schedule and confirm appointments, monitoring schedule capacity.
  • Attend to billing corrections in a timely fashion.
  • Distribute paper lab results and scan records into patient charts.
  • Help maintain office supplies, equipment, and general office systems.
  • Effectively utilize Electronic Health Record (E.H.R.), Microsoft Outlook, and MS Office Suite.
  • Proactively manage clinician schedules, filling openings via waiting lists and requesting patient names from clinicians.
  • Keep patient demographics and insurance information accurate and up-to-date in the EHR.
  • Provide friendly, knowledgeable, and responsive internal and external customer service.
  • Remind patients of appointments 72 hours in advance and daily or as needed.
  • Check voicemail throughout the day and return patient calls the same day or within 24 hours.
  • Utilize EHR to communicate about appointment details and keep administrative team members informed.
  • Keep Supervisor informed of customer compliments, complaints, or critical issues with clinical services.
  • Maintain current knowledge of all physicians and services of the practice.
  • Consistently extend a professional, warm environment by using a pleasant tone of voice and maintaining composure.
  • Attend staff and office meetings as required.

  • Adhere to all UCSF Benioff Children’s Physicians policies and procedures.
  • Practice safe work habits and engage in good business standards and practices.

  • Comply with all HIPAA regulations and UBCP standards of patient confidentiality.
  • Accept and perform other job-related duties, projects, and responsibilities as required.
