About the Role

This position is for a highly proactive Executive Assistant with excellent organizational skills and proven experience in a fast-paced professional services environment. The role involves supporting executives by managing complex diaries, coordinating meetings and international travel, and providing comprehensive administrative support.

Responsibilities

  • Proactively manage complex and evolving diaries across multiple global time zones, balancing competing priorities and optimizing executive time.
  • Coordinate a high volume of internal and external meetings, liaising with global stakeholders for scheduling, meeting spaces, hospitality, and logistics.
  • Coordinate extensive international travel, including complex itineraries, flights, accommodation, ground transportation, and visa requirements, adapting to changing business needs.
  • Provide responsive support to changing executive priorities, managing last-minute diary and travel amendments with professionalism and sound judgment.
  • Prepare, submit, and reconcile executive expense reports in accordance with company policies and deadlines.
  • Process invoices accurately and maintain appropriate records for timely payment.
  • Prepare meeting agendas, presentations, and supporting materials, ensuring executives are fully briefed.
  • Welcome and support visitors from global offices and external stakeholders, coordinating meeting logistics for a professional experience.
  • Manage the onboarding process for new team members, coordinating technology, access, inductions, and administrative requirements.
  • Liaise with internal departments (Reception, Facilities, IT, Finance) to coordinate day-to-day operational requirements.
  • Assist with the planning and coordination of team meetings, off-sites, conferences, and social events.
  • Build effective working relationships with stakeholders across the Private Equity business and global offices, acting as a trusted administrative point of contact.
  • Maintain confidentiality at all times, exercising discretion and professionalism when handling sensitive information.
  • Provide flexible administrative support to the wider Executive Assistant team, fostering collaboration and ensuring seamless coverage during absences or peak workloads.

Requirements

  • Minimum 3 years' experience in a similar industry.
  • Excellent organization and communication skills.
  • Proficient knowledge of Microsoft Outlook, Word, and PowerPoint.
  • Previous experience using Concur would be desirable but not essential.
  • Proactive and able to work on own initiative as well as part of a team.
  • Decisive, resourceful, and quick to prioritize.
  • High attention to detail.
  • Flexible and adaptable.
  • Resilient, with strong team focus.
