About the Role

This role supports the Reward and Company Secretarial teams in managing the administration of global share schemes. It involves assisting with administration, reporting, and operational delivery of employee share plans, including managing plan events, working with data, preparing communications, and coordinating with internal teams and external vendors.

Responsibilities

  • Assist in the day-to-day administration of share plans, including preparing for grant, vesting, dividend payments, and invitation windows.
  • Contribute to the production of accurate and timely reports on share plan data, processing joiners and leavers, and updating records.
  • Assist with the collation of data for and verification of the Directors’ Remuneration Report in the Annual Report & Accounts.
  • Monitor the share plans inbox and respond to queries from current and former employees regarding share plans.
  • Support the development of engaging and compliant communications for share plans, including emails, Viva Engage posts, and intranet materials.
  • Coordinate with internal teams (HR, payroll, Company Secretarial) and external Plan Administrators to ensure smooth plan operations.
  • Help ensure processes are documented and controlled, and that share plan administration and reporting adhere to relevant laws, regulations, and internal policies.
  • Assist in managing core systems and portals for share plan administration and employee access.
  • Deputise for the Executive Compensation Adviser and Assistant Company Secretary as required.
  • Effectively work with internal and external stakeholders.
  • Ensure all activities are carried out in a safe manner complying with all regulatory requirements, legislation and Harbour Energy HSES Procedures.
  • Ensure all activities and behaviours are carried out in accordance with Harbour Energy’s Ethics and Compliance Policies and Procedures, and complete any compulsory compliance training as required.

Requirements

  • Strong reward background with an interest in completing the Tapestry Certificate in Share Plans or completed Tapestry Certificate.
  • Advanced Microsoft Excel skills.
  • Ability to effectively manage internal and external key relationships.
  • A strong eye for detail.
  • Excellent organisational, written and verbal communication skills.
  • Enthusiastic, prepared to take on challenges and work in a high-paced environment.
  • Previous experience of administering share plans for a listed company (desirable).
  • Project management skills (desirable).
