About the Role

This role provides administrative support to the Chief Financial Officer and the Chief Revenue Officer, acting as a primary point of contact and managing complex logistics.

Responsibilities

  • Manage extensive inbox and calendar, prioritizing inquiries and troubleshooting conflicts.
  • Coordinate detailed travel arrangements, including itinerary planning, visa acquisition, and booking.
  • Serve as the primary point of contact for internal and external communications.
  • Manage logistics for meetings, conference calls, and video conferences.
  • Chair, minute, and action-track Finance team meetings.
  • Handle all administration related to CFO and CRO workloads.
  • Arrange team events.
  • Manage email correspondence and draft responses.
  • Prepare PowerPoint slides.
  • Manage documents.
  • Handle printing of documents.
  • Control signatory requests.
  • Process expenses and credit card reconciliations.
  • Pre-approve travel and expense requests.
  • Perform ad-hoc administrative and project duties.
  • Act as a liaison point of contact for the Finance team.
  • Collaborate with Executive Coordinators and Executive Assistants for cover and support during high workloads.

Requirements

  • Ability to represent the CFO and CRO and engage with individuals at all levels.
  • Excellent communication skills and ability to work collegially.
  • Flexible attitude and enjoyment in assisting others.
  • High level of English language oral and writing skills with the ability to draft succinctly.
  • Ability to anticipate and coordinate complex and changing travel and meeting arrangements across time zones.
  • Ability to analyze and think strategically about complex issues and quickly understand new information.
  • Good judgment, high prioritization skills, and ability to work efficiently and autonomously.
  • Need to consult with and update senior staff as appropriate.
  • High attention to detail and excellent organizational and administrative skills.
  • Ability to remain composed under pressure and respond to urgent, ad-hoc demands.
  • Ability to prioritize workload appropriately.
  • High degree of integrity and professionalism.
  • Ability to handle confidential and politically sensitive issues discreetly and diplomatically.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
  • Previous experience in an Executive Assistant or policy support position, ideally with senior representatives in government, regulation, or the financial sector.
  • Previous exposure to confidential and politically sensitive issues, and the ability to handle them sensitively and discreetly.
